Job summary

Qualifications

  • High School Diploma or GED required; Associate or Bachelor’s degree preferred.
  • Minimum of one year experience as an administrative assistant, office manager, or executive assistant; two years preferred.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint), Adobe, and Outlook.
  • Strong organizational and time management skills with ability to prioritize tasks efficiently.
  • Adaptable with ability to handle multiple tasks under tight deadlines.
  • Proficient typing skills: minimum 45 WPM with 95% accuracy preferred.
  • Demonstrated ability to work effectively with diverse populations, including BIPOC, LGBTQIA+, disabled, and other diverse communities.

Responsibilities

  • Facilitate preparation for Board of Directors meetings, including document creation and venue coordination.
  • Assist in preparing internal and external reports, memos, and other formal documents.
  • Compile and complete statistical reports on daily, monthly, quarterly, and annual bases.
  • Perform additional duties as assigned.
  • Attend and take minutes at leadership meetings and the monthly Management Meeting.
  • Provide logistical and administrative support for campus-wide events such as fundraisers and trainings.
  • Greet visitors, manage phone communications, and maintain a welcoming office environment.
  • Monitor and manage office supply inventory within budgetary constraints.

Job description

Missions Inc. Programs provides housing, emergency shelter and supportive services to domestic abuse survivors and those seeking recovery from substance use disorders. We offer a collaborative and safe community for clients to heal and transform their lives.

Summary

The Administrative Assistant plays a vital role in supporting the CEO and the Organizational Leadership team. This position is responsible for efficiently managing the administrative office, including overseeing office supplies, managing phone communications, and welcoming visitors. The Administrative Assistant ensures smooth day-to-day operations and provides essential support for high-level organizational activities.

CORE RESPONSIBILITIES
Executive Support for the CEO
  • Facilitate preparation for Board of Directors meetings, including document creation, venue coordination, scheduling virtual meetings, and managing RSVPs.
  • Assist in preparing internal and external reports, memos, and other formal documents.
  • Compile and complete statistical reports on a daily, monthly, quarterly, and annual basis.
  • Perform additional duties as assigned.
Organizational Leadership Team Support
  • Assist in the preparation of reports and documents as requested by the leadership team including HR, Advancement, Facilities, Programs, and Finance departments.
  • Attend and take minutes at meetings, including the monthly Management Meeting.
  • Provide logistical and administrative support for campus-wide events such as fundraisers, employee recognition programs, and training sessions.
  • Perform additional duties as assigned.
Office Management and Support
  • Answer phone calls and direct them appropriately with courtesy and professionalism.
  • Greet visitors, offer hospitality, and notify relevant staff of their guest’s arrival.
  • Collaborate with Facilities to maintain a clean, organized, and welcoming office environment.
  • Monitor and manage office supply inventory, ensuring timely orders within budgetary constraints.
  • Oversee phone systems, including managing outgoing messages and general voicemail.
  • Perform additional duties as assigned.
QUALIFICATIONS

Compensation: $20-$23 per hour depending on qualifications and experience
