Position Summary
The Clerical Assistant provides general administrative and clerical support to help ensure efficient day-to-day office operations. This position is responsible for monitoring administrative communications, maintaining electronic employee records, preparing documents and reports, processing mail, and assisting supervisors with routine administrative needs.
This is an entry-level, part-time position requiring strong organization, attention to detail, professionalism, and basic proficiency with Microsoft Office applications.
Primary Responsibilities
- Monitor and respond to messages received through the designated administrative email account.
- Enter and maintain accurate information in company systems and databases.
- Upload, organize, and maintain employee files and other documents electronically.
- File and organize paper and electronic records, as applicable.
- Process and distribute incoming and outgoing mail.
- Prepare routine paperwork, forms, spreadsheets, and reports.
- Assist with maintaining organized administrative records and documentation.
- Monitor office supply levels and restock or request supplies as needed.
- Complete routine administrative requests and assignments from supervisors and management.
- Assist with scanning, copying, printing, and other general office functions.
- Maintain confidentiality when handling employee, company, and other sensitive information.
- Perform other clerical and administrative duties as assigned.
Required Skills & Qualifications
- Basic proficiency with Microsoft Word.
- Basic proficiency with Microsoft Excel.
- Experience using Microsoft Outlook for email and calendar functions.
- Experience using Microsoft Teams.
- Basic typing and keyboarding skills.
- Ability to learn new office software, databases, and company systems.
- Strong organizational and time-management skills.
- Ability to maintain accurate records and pay close attention to detail.
- Ability to follow written and verbal instructions.
- Ability to manage multiple routine assignments and meet deadlines.
- Professional written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Education & Experience
- High school diploma or equivalent preferred.
- Previous clerical, administrative, office, or data-entry experience is preferred but not required.
- Entry-level candidates with strong computer and organizational skills are encouraged to apply.
Schedule
This is a part-time position averaging approximately 20-25 hours per week.
Scheduling is negotiable and may include arrangements such as:
- Approximately 4.5-5 hours per day, five days per week, or
- Approximately 8 hours per day, three days per week.
Final scheduling will be determined based on organizational needs and candidate availability.
Compensation
Starting Pay: $16.00 per hour
