AVIAN is seeking an Administrative Assistant (Senior) to provide administrative support to the Test Pilot School executive staff. Responsibilities include office management, clerical tasks, and maintaining personnel records. The Administrative Assistant may also be required to research and prepare briefing charts and presentation materials in addition to secretarial duties such as filing, taking phone calls, and scheduling appointments.
Responsibilities
- Perform routine clerical and administrative functions in support of executive staff.
- Draft correspondence, reports, and other documentation as required.
- Use the Defense Travel System (DTS) for executive staff and others, to include travel orders and vouchers.
- Coordinate calendars and schedule appointments for leadership.
- Organize and maintain paper and electronic filing systems.
- Answer and route incoming phone calls and inquiries appropriately.
- Use the BASICS II system to facilitate visit requests to and from the base.
- Maintain and update personnel security files in accordance with program requirements.
- Assist with research and preparation of briefing charts, reports, and presentation materials.
- Provide administrative support to senior personnel and perform functional duties under the guidance of more senior staff.
- Support high-visibility or mission‑critical program activities as needed.
- Assist with office coordination and event support when required.
- Serve as the command's first draft for purchase order requests.
Required Experience
- 3 to 10 years of administrative support experience, preferably in a government or DoD environment.
Desired Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with BASICS II (Base Access Security Information Control System).
- Familiarity and use of the DTS for travel.
- Experience supporting event coordination and office functions.
- Strong organizational, communication, and multitasking skills.
Additional Requirements
- Must be able to obtain and maintain a Department of Defense SECRET security clearance.
- Due to the sensitivity of customer‑related requirements, U.S. Citizenship is required.
- Salary is commensurate with experience: $70,000‑$75,000 (the offered rate will be based on the selected candidate’s knowledge, skills, abilities, and/or experience and in consideration of internal parity).
