Job summary

Brandywine Community Schools in Michigan is seeking a dedicated Administrative Assistant to support student success and keep the office organized. You will greet visitors, manage schedules, maintain confidential records, and assist with daily clerical tasks, PowerSchool data entry, and communications with families, staff, and students.

Qualifications

  • High School diploma or equivalent required.
  • Minimum of three years of successful secretarial experience (five years preferred).
  • Strong interpersonal and communication skills.
  • Proficient in technology and office software; ability to quickly learn new applications.
  • Professional discretion and ability to handle confidential information.
  • Ability to follow all guidelines in staff handbook.

Responsibilities

  • Types correspondence, letters, memos, check requests, and forms.
  • Greets visitors and answers routine inquiries regarding grades, programs, and procedures.
  • Takes messages and routes calls appropriately.
  • Dispenses medication to students.
  • Assists with coding attendance information in PowerSchool.
  • Assist with sick or injured students.
  • Processes discipline referrals and runs reports as needed.
  • Manages student work permits for the state.
  • Maintains CA-60 student records.
  • Distributes incoming interoffice mail and notifies staff of deliveries.
  • Completes mandatory district training annually.

QUALIFICATIONS

ESSENTIAL FUNCTIONS and DUTIES

  • Types correspondence, letters, memos, check requests, and forms
  • Greets visitors and answers routine telephone inquiries regarding grades, programs, and building procedures
  • Takes messages and routes telephone calls appropriately
  • Dispenses medication to students
  • Assists with coding attendance information in PowerSchool
  • Assist with sick or injured students
  • Processes and logs all discipline referrals and runs discipline reports as needed
  • Processes student work permits for the state
  • Assists the attendance assistant when necessary
  • Maintains CA-60 student records
  • Distributes incoming interoffice mail and notifies staff of deliveries
  • Completes mandatory district training annually
REQUIRED SKILLS and ABILITIES
Education
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Proficient in Microsoft Office, Google Suite, and school data systems (e.g., PowerSchool)
  • Ability to work effectively with students, staff, parents, and the public
  • Professional discretion and ability to handle confidential information
  • Ability to adapt to changes in technology, procedures, and district priorities
  • Consistent and timely attendance is a requirement
WORK ENVIRONMENT and CONDITIONS
