Qualifications

  • High School Diploma or GED required.
  • Associate's or Bachelor's degree preferred.
  • 1–2 years of administrative support or office management experience.
  • Experience in schools, after-school programs, or nonprofits is highly desirable.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.

Responsibilities

  • Provide daily administrative support to the Program Director and staff.
  • Welcome students, families, staff, and visitors in a professional manner.
  • Answer calls, emails, and respond to inquiries; maintain filing systems.
  • Prepare reports, correspondence, and program materials.
  • Manage participant enrollment, records, and attendance tracking.
  • Coordinate workshops, meetings, field trips, and events; maintain sign-in sheets.
  • Support recruitment, outreach, enrollment, and retention efforts.
  • Collaborate with program staff and partners; assist in reports for funders.

dependable, and detail-oriented Administrative Assistant to support our After-School and SYEP Career Ready Programs at Business Technology Early College High School (B-TECH).This full-time position serves as the primary administrative support for the program team, ensuring efficient daily operations, maintaining accurate records, coordinating participant enrollment and attendance, communicating with students and families, and supporting special events and program activities.The ideal candidate is organized, customer service-oriented, and thrives in a fast-paced school environment while supporting high-quality youth development programming.Primary ResponsibilitiesAdministrative SupportProvide daily administrative support to the Program Director and program staff.Welcome students, families, school staff, and visitors in a professional and friendly manner.Answer phone calls, emails, and respond to program inquiries.Maintain organized electronic and paper filing systems.Prepare reports, correspondence, spreadsheets, and program materials.Order, organize, and maintain office and program supplies.Participant Enrollment & RecordsAssist with participant registration, enrollment, and collection of required documentation.Maintain accurate participant records in agency databases.Track daily attendance and follow up on attendance concerns.Complete data entry while ensuring compliance with agency and funder requirements.Maintain confidentiality of participant information and records.Program SupportSupport the day-to-day operations of the After-School and SYEP Career Ready Programs.Coordinate workshops, meetings, field trips, guest speakers, and special events.Prepare sign-in sheets, workshop materials, and participant packets.Communicate program updates and reminders to students, families, and school staff.Assist with participant recruitment, outreach, enrollment, and retention efforts.Support special projects and other program initiatives as needed.Collaboration & ComplianceCollaborate with Program Directors, school administrators, instructors, and community partners.Assist in preparing reports and documentation for funders and internal audits.Ensure participant files remain complete, accurate, and up to date.Participate in staff meetings, trainings, and professional development opportunities.Perform other administrative and program-related duties as assigned.EducationHigh School Diploma or GED required.Associate's or Bachelor's degree in Business Administration, Education, Human Services, or a related field preferred.Experience & SkillsOne to two years of administrative support, office management, customer service, or school-based experience preferred.Experience working in schools, after-school programs, youth development, or nonprofit organizations is highly desirable.Strong organizational and time management skills with exceptional attention to detail.Excellent written, verbal, and interpersonal communication skills.Ability to manage multiple priorities and deadlines in a fast-paced environment.Strong customer service skills with the ability to build positive relationships with students, families, school personnel, and colleagues.Technical SkillsProficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).Experience using Google Workspace (Docs, Sheets, Forms, and Drive).Comfortable learning participant databases and online registration systems.Ability to operate standard office equipment, including printers, scanners, and copiers.Additional RequirementsNYC Department of Education (DOE) PETS Clearance required or the ability to obtain clearance prior to employment.Ability to maintain confidentiality and professionalism.Ability to occasionally lift up to
