Position: Administrative Assistant

Departments: Interdepartmental: Education Policy Center and Racial Justice Center

Terms of Employment: Regular Full-Time / Non-Exempt/ Union Position – Local 2110 (NYCLU staff is currently working in a hybrid model. A number of in-person days will be required).

Location: 55 Broadway, New York, NY 10006

Salary: $44,514 - $54,302

Summary Description

The Administrative Assistant reports directly to the Director of the Education Policy Center and Director in the Racial Justice Center (collectively, “the Centers”). The Administrative Assistant accomplishes a varied range of tasks to support the programming and administration of the Centers.

Roles & Responsibilities

The Administrative Assistant will undertake a range of tasks and responsibilities to support the Centers, including:

  • Maintaining department calendars and assisting with scheduling for the management team.
  • Supporting the Centers’ programs by ordering food, reserving meeting space, coordinating RSVPs and office access, and setting up for events.
  • Assisting staff in the planning, scheduling, and completion of meetings, events, and legislative appointments, including booking travel.
  • Tracking correspondence and connections with legislative offices for follow-ups.
  • Maintaining organized and provisioned office spaces and physical files in the New York City office.
  • Taking notes in meetings and providing reminders to team members about tasks and deadlines in individual and group assignments.
  • Coordinating mailing, printing requests, deliveries, and managing inventory of various materials.
  • Assisting with running and manipulating reports, pulling data sets, and identifying trends.
  • Identifying and tracking legislation and coordinating with program staff.
  • Compiling, editing, and drafting communications.
  • Supporting campaigns and programs with general research.
  • Assisting staff with expenses and reimbursements.
  • Assisting with the hiring and onboarding of staff and interns, as needed.
  • Maintaining and updating contact lists.
  • Working with other departments on specific projects assigned, and additional responsibilities as needed.


Qualifications

  • Results-oriented with demonstrated ability to track progress and meet goals.
  • Extremely detail-oriented and organized.
  • Well-versed in Microsoft Office Suite and videoconferencing technology.
  • Strong written and oral communication skills, as well as data management skills.
  • Commitment to developing and maintaining effective relationships with others, including relating well to people from different backgrounds and diverse perspectives.
  • Ability to manage, prioritize, and complete multiple tasks on time, under tight deadlines.
  • Demonstrated commitment to the mission of the organization, and a passion for civil rights and social justice.
  • Ability to work occasional overtime or irregular hours, including nights and weekends.
  • Database experience and fluency in Spanish a plus.
