Job summary

Oaklawn Psychiatric Center in Mishawaka seeks an Administrative Assistant to join a busy team delivering essential support to staff, clients and external partners.

The role covers a range of duties from answering phones and preparing correspondence to filing, mail handling and meeting minute preparation, with a focus on clear communication in a trauma-informed environment. A full-time schedule and competitive starting pay apply.

Qualifications

  • High school diploma or equivalent.
  • Must be 21 years old or older.
  • Prior office/administrative experience highly recommended.

Responsibilities

  • Provide primary administrative support to assigned supervisors.
  • Demonstrate the ability to be an effective resource that assists in providing overall communication throughout the organization and its related businesses
  • Utilize the most appropriate and effective mode(s) of communication
  • Provide excellent customer service in a trauma informed manner
  • Prepare and disseminate correspondence with accuracy using appropriate (written and verbal) business language
  • Operate office equipment required for the position. i.e. (phone, fax, copier, computer and printer)
  • Maintain files/materials in an organized orderly fashion
  • Process and distribute incoming and outgoing mail in a timely fashion
  • Effectively communicate during emergency situations. i.e. (fire, and disaster drills)
  • Prepares supply orders, as needed
  • Prepare, maintain and distribute meeting minutes effectively and efficiently, as needed
  • Provide phone answering services and accurately transferring as needed

What You’ll Do as an Administrative Assistant:

Administrative assistants (AA) are an important part of every team at Oaklawn. AAs provide valuable support to staff, clients and outside organizations that keep our operations running smoothly.

While there is a wide variety of AA positions at Oaklawn, most include:

  • Provide primary administrative support to assigned supervisors.
  • Demonstrate the ability to be an effective resource that assists in providing overall communication throughout the organization and its related businesses
  • Utilize the most appropriate and effective mode(s) of communication
  • Provide excellent customer service in a trauma informed manner
  • Prepare and disseminate correspondence with accuracy using appropriate (written and verbal) business language
  • Operate office equipment required for the position. i.e. (phone, fax, copier, computer and printer)
  • Maintain files/materials in an organized orderly fashion

Most support staff also interact frequently with clients, which includes youth in residential treatment and their families, service providers, staff and visitors. It is of utmost importance that our support staff help foster positive interactions with clients. The support staff should be knowledgeable of stress management and conflict resolution techniques and be able to respond and communicate clearly in emergency situations. Paid training in these areas is provided.

Minimum Hiring Requirements:
  • High school diploma or equivalent
  • Must be 21 years old or older
  • Must have a valid driver's license
  • Must be flexible in availability including evening/holiday/weekend coverage, when needed.
  • Prior office/administrative experience highly recommended.
