We are a growing real estate investment and property management company seeking an organized and motivated Administrative Assistant to join our property management team.
This position provides administrative and operational support to our Property Managers and company management, assisting with day-to-day property operations, leasing, marketing, administrative tasks and special projects.

Property management experience is helpful, but a willingness to learn and the ability to stay organized in a fast-paced environment are equally important.Minimum 1 year of experience in an administrative role, property management a plus, or a related professional environment preferred.

- Provide day-to-day administrative and operational support for multiple multifamily properties.
- Communicate professionally with residents, prospects, vendors, maintenance staff and coworkers.
- Answer phones, respond to routine resident inquiries and coordinate follow-up as needed.
- Enter, track and follow up on maintenance requests and coordinate communication between residents, management and maintenance.
- Assist with resident accounts, rent collection, utility balances and related tracking.
- Prepare resident notices, correspondence, lease renewals and other property documentation.
- Maintain organized and accurate resident, applicant, prospect and property records.
- Assist with move-ins, move-outs, inspections and follow-up on outstanding property items.
- Support leasing activities, including inquiries, prospect follow-up, tours, applications, screening documentation and waitlists.
- Maintain property listings, availability and online advertising.
- Manage regular property social media activity across Facebook, Instagram and TikTok, including posts, stories, Reels and videos.
- Create and edit photos, flyers, signage and other digital or printed marketing materials.
- Monitor and respond appropriately to social media comments, messages, tags and online reviews.
- Assist with open houses, resident events, move-in gifts and other marketing or resident-retention efforts.
- Help ensure common areas, model units and available units are maintained and presented professionally, including light preparation when needed.
- Order and coordinate property supplies, signage, printed materials and occasional property-related pickups or errands.
- Assist with billing, spreadsheets, documentation, data entry and general recordkeeping.
- Provide administrative support to company management and ownership, including correspondence, document preparation and third-party communication.
- Assist with special projects, company events and other administrative, operational or marketing needs as assigned.
- Provide flexible support wherever needed to help keep overall company, projects and day-to-day operations running efficiently.
Qualifications, Knowledge & Skills
- Minimum 1 year of experience in administrative support, property management, real estate, leasing, office coordination, customer service or a related professional environment preferred
- Excellent written and verbal communication skills and strong organization and attention to detail
- Ability to manage multiple tasks, deadlines and priorities
- Strong follow-through, problem-solving skills and initiative
- Self-motivated and able to work independently while supporting multiple team members
- Proficient with Microsoft Outlook, Word and Excel and comfortable learning property management platforms and other software
- Valid driver's license and reliable transportation for occasional travel between properties and local errands
