Qualifications

  • High School diploma or GED with 3 years of admin/office experience, or a Bachelor's in Human Services with 1 year of office experience.
  • Ability to maintain confidentiality of sensitive information in developmental disability, mental health, and substance abuse services.
  • Excellent communication and interpersonal skills.
  • Advanced computer skills: word processing, spreadsheets, database management, and email.

Responsibilities

  • Provide front desk duties and general agency support.
  • Run reports, collect data, and develop/maintain tracking mechanisms including database administration and file records.

What You Will Be Doing

Working as a Administrative Assistant/Program Specialistyou will primarily provide support for the agency.You will be responsible for front desk duties, running reports, obtaining data collection, develop/maintain tracking mechanisms, including database administration and file administration for recordkeeping and information retrieval as directed. You will maintain the confidentiality of consumer and other information. You will also be utilizing multi-line phone system, greeting guests, which includes managing the telephone, sorting and distributing mail and faxes, and scanning. This position will be knowledgeable about and actively support 1) culturally competent, recovery based practices, 2) person centered planning as a shared decision making process with the individual, who defines his or her own life goals and is assisted in developing a unique path toward those goals and 3) a trauma informed culture to aid consumers in their recovery process.

What We Require

High School diploma or GED and three years’ experience in office or administrative assistant role, or a Bachelor’s Degree in a Human Services field and one year experience in an office or administrative assistant role.Ability to support the confidential nature of developmental disability, mental health and substance abuse services. Excellent communications skills, interpersonal and human relation skills. Advanced computer skills, including word processing, spreadsheets, database management and e-mail.

Physical Requirements / Working Conditions

Job demands include prolonged sitting and standing. Requires light lifting up to 25 pounds, stooping, kneeling, crouching, or bending. Requires coordination of hands and/or eye/hand/foot and ability to hear and communicate verbally.

Working Conditions

In office environment with noise from computers, copy machine, and telephones. Use of computer for periods in excess of 30 minutes at a time. May be exposed to bloodborne pathogens, infectious diseases, and parasites. May encounter community environments that include homes, schools, courts, and other community settings that may or may not be barrier-free. Travel throughout the Kalamazoo area may be required.
