Milestone Senior Services is seeking a Mental Health Programs Coordinator to support the Clinical Manager. The role focuses on data tracking, confidential records management, team building, and CQI in line with OBRA rules.

The position is full-time, onsite in Kalamazoo, MI, with a schedule of Mon-Fri 8 a.m. to 5 p.m. The starting hourly pay ranges from $19.18 to $21.92, with comprehensive benefits.

Qualifications

  • High school diploma required.
  • Bachelor’s Degree or 5 years professional administrative experience in non-profit human services.
  • Proficiency in typing, basic computer and internet skills, and MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, communication, and planning skills.
  • Demonstrates culturally competent services and cross-cultural work.

Responsibilities

  • Team Leadership: Coordinate projects and lead development and implementation to improve program quality and fidelity to standards.
  • Customer Services: Maintain smooth day-to-day communication and act as backup contact in emergencies.
  • Operational Management: Draft, edit, and prepare correspondence and reports; manage confidential records and OBRA determinations.
  • Relationship Management: Build relationships with staff and partners; assist in onboarding.

Job Title: Mental Health Programs Coordinator

Reports to: Clinical Manager of Mental Health

Hours worked per week not to exceed: 37.5

Supervisory Responsibilities: No

FLSA Status: Full time, Non-exempt

Schedule: Monday - Friday 8 a.m. - 5 p.m.

Location: Onsite - 918 Jasper Street, Kalamazoo, MI 49001

Purpose of Position

Under the direction of the Clinical Manager, the Mental Health Programs Coordinator performs a variety of operational, administrative, and logistical services in support of the Clinical Manager and Mental Health Programs Staff. The Programs Coordinator helps facilitate all manner of data tracking and confidential health records management in day-to-day operations. The Programs Coordinator works with a focus on Team Building, Quality Assurance, Continuous Quality Improvement (CQI), Funder Requirements (i.e., ISK), and Program Standards (i.e., Federal/State OBRA rules).

Essential Functions
  • Team Leadership: Coordinates and has direct responsibilities for projects and/or sets of tasks related to program/organization. Lead development and implementation of plans to continuously monitor and improve the quality of the programs and the services provided. Measures and monitors program staffs’ fidelity to evidence-based mental health services, funder requirements, and program standards.
  • Customer Services: Provides smooth day to day flow of communication within programs and to customers. Serves as principal source of information for project and/or program and advises team members as necessary. Acts as the backup contact person during the absence of Mental Health Programs team members, answering phone for the programs, taking messages, assisting callers when needed, and following-up on any emergencies with appropriate team members. Interacts with consumers served, legal representatives, natural supports, AFC staff, nursing facility staff, referral agents, colleagues, funder sources, and other community agents in a positive and professional manner.
  • Operational Management: Organizes and implements administrative systems and procedures performing necessary support duties. Draft, edit, and prepare correspondence, reports, and other necessary materials using Word processing, spreadsheets, and databases. Mail, e-mail, or hand deliver OBRA determinations to nursing facility residents or their legal representatives. Prepares and maintains program records. Maintains highly confidential clinical records and consumer information within the guidelines of Senior Services, both internally and externally (e.g., Community Mental Health, State OBRA Office) using appropriate software programs, databases, and office machines (e.g., copying and faxing information).
  • Relationship Management: Establish and maintain active and constructive relationships with program staff and other teams within the organization. Assists other team members in preparing, formatting, and submitting documents and reports. Assists in the orientation and on-boarding process for new staff, volunteers, and interns, helping to familiarize them to agency programs, use of office machines/tools (computers/phones/copiers/fax), and various office processes.
  • Health and Safety: Complies with safe practices and procedures based on organization policies and procedures.
Education/Experience
  • High school diploma required. Bachelor’s Degree or 5 years professional administrative experience in non-profit human services desired.

Compensation & Benefits
  • Non - exempt position with starting hourly pay of $19.18 -$21.92, adjusted for experience.
