Job summary

Pyramid Healthcare in Jacksonville, NC is seeking an Administrative Assistant to join our behavioral health team. As the first contact for clients, visitors, and referral partners, you will help keep daily operations running smoothly and maintain a welcoming environment.

The role requires strong organization, stellar communication, and proficiency with Microsoft Office, plus a commitment to confidentiality under HIPAA.

Qualifications

  • High school diploma or GED.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and general computer applications.
  • Professional telephone etiquette and customer service skills.
  • Ability to maintain confidentiality and work in compliance with HIPAA regulations.
  • Preferred: previous administrative, receptionist, medical office, or clerical experience.
  • Healthcare, behavioral health, or human services environment experience preferred.

Responsibilities

  • Welcome clients, visitors, and vendors while creating a professional and compassionate first impression.
  • Answer and direct incoming phone calls promptly and professionally.
  • Coordinate appointments, meetings, and calendars as needed.
  • Maintain client records, including filing, scanning, transcription, and records transfers while ensuring HIPAA compliance.
  • Assemble and maintain client intake packets and required documentation.
  • Perform general administrative duties including copying, faxing, mailing, data entry, and correspondence.
  • Assist with intake paperwork, billing documentation, and communication with referral sources.
  • Order, receive, and maintain office and client supplies.
  • Prepare check requests and maintain census, intake, and discharge tracking logs.
  • Coordinate office equipment maintenance and communicate with vendors.
  • Record meeting minutes and assist with administrative reports.
  • Maintain petty cash in accordance with company policies.
  • Ensure the reception and office areas remain clean, organized, and welcoming.
  • Support facility leadership with additional administrative projects as assigned.

What You'll Do
