Job summary

CAZ Investments in Houston, TX seeks an Administrative Assistant to support the Principal(s) and Team with calendar management, travel coordination, meeting prep and administrative execution. You will plan and confirm travel, organize agendas, coordinate logistics for in-person and virtual meetings, and maintain organized files and records.

2–3 years of admin experience, strong written communication, and proficiency with Microsoft 365, Asana, Salesforce, or DealCloud are preferred.

We are quite different than the vast majority of other investment management companies in multiple ways. First, we always invest our personal capital alongside our Partners. We have more than $600MM of our personal capital committed to our investment vehicles. We provide access to our Partners to co-invest with us in these vehicles, which we believe provide the best opportunities for our families' and our Shareholders' money. Second, because of the scale of our investments, we have access to opportunities that would otherwise not be available to investors with less than $250MM to $500MM of investable assets. Quite simply, there are many investments we can provide for our Partners they could never access on their own. Third, and what we believe is the most unique feature of our firm, almost all of our compensation is earned only if an investor makes money. In many cases, if our Partners do not make money, we don't get paid. This ultimate alignment of interests is why we focus on finding the absolute best risk/reward opportunities available.

Administrative Assistant

This position provides coordination and support to the Principal(s) and their Team, ensuring smooth day-to-day operations through effective calendar management, travel coordination, meeting preparation, and administrative execution. Depending on business needs, the role may be structured to support a single Principal, multiple Principals, or a Team/department collectively.

Key Responsibilities:
  • Coordinate and maintain the Principal's calendar, scheduling meetings and prioritizing appointments based on guidance provided
  • Plan, coordinate, and confirm travel arrangements, including airfare, hotels, transportation, meals, and related logistics
  • Prepare for meetings by organizing agendas, compiling materials, and coordinating logistics for both in-person and virtual meetings
  • Coordinate internal and external meeting scheduling, including invites and room and technology setup
  • Track and follow up on action items resulting from meetings and coordination efforts to ensure timely completion
  • Support the planning and execution of Team events, offsites, and other firm gatherings
  • Administer firm technology tools, such as Asana, DealCloud, and Salesforce, to support Team collaboration and task tracking
  • Manage administrative tasks such as completing expense reports, processing receipts, and maintaining necessary documentation and filings
  • Serve as a point of contact for internal and external stakeholders, ensuring professional and timely communication
  • Maintain organized systems for documents, files, and records to support Team efficiency
  • Provide general office and administrative support to the Principal(s) and Team as needed
Success as an Administrative Assistant will be measured by your:
  • Efficient calendar and schedule coordination that keeps the Principal(s) and Team on track
  • Accuracy and timeliness in coordinating travel, meetings, and events
  • Meticulous attention to detail in administrative tasks and documentation
  • Proficiency with firm provided technology tools to enhance Team efficiency
  • Professional, responsive communication with internal and external parties
Requirements:
  • At least 2 to 3 years of experience as an Administrative Assistant, Personal Assistant, or in a similar coordination role
  • Experience with Microsoft 365, Asana, Smartsheet, Salesforce or Dealcloud preferred
  • Familiarity with AI tools such as Copilot or Claude, with the ability to apply them to improve day-to-day efficiency.
  • Exceptional organizational and written communication skills and exacting attention to detail
  • A constant focus on planning ahead and for the \"what if\" factor
  • Team player with a strong work ethic and a proactive approach to support
  • High level of composure, discretion, and resilience, with the ability to remain effective under pressure and adapt quickly to shifting priorities
  • Ability to work in a fast-paced environment under strict deadlines, and to learn quickly and adapt to the role
  • Calendar and Time Management: Owns the Principal's calendar end to end, resolving conflicts before they become a problem and building in buffer time for prep and travel
  • Written and Verbal Communication: Drafts emails and materials that read professionally, adapts tone across audiences, and serves as a polished point of contact by phone and in person
  • Organization and Attention to Detail: Maintains filing, contacts, expenses, and follow-ups with zero dropped items, and proofs every outbound communication
  • Technology Fluency: Proficient in Microsoft 365, Asana, DealCloud, Salesforce, and similar platforms, plus AI tools for drafting and research; learns new systems quickly
Compensation and Benefits:
  • Base salary will be commensurate with experience
