We are a growing construction company seeking a highly organized, dependable Administrative Assistant to run the day-to-day operations of our office. This is a front‑line role and the first point of contact for everyone who walks through our door or calls in—so a professional, welcoming presence and strong follow‑through are essential. The Administrative Assistant keeps the office running smoothly: managing reception, keeping supplies stocked, coordinating vendors and office services, and supporting our project and leadership teams with administrative tasks so they can stay focused on building projects.
Key Responsibilities
- Serve as the face of the office: greet visitors, answer and route incoming calls, and manage incoming and outgoing mail and deliveries.
- Keep the office fully stocked—order and maintain office, kitchen, and breakroom supplies, and track inventory.
- Coordinate office services and vendors, including cleaning staff, maintenance, and equipment/service providers.
- Handle ordering and coordination of office furniture and equipment as needed.
- Keep the front office, conference rooms, and common areas clean, organized, and meeting‑ready.
- Support the team with administrative tasks such as scheduling meetings, preparing and organizing documents, filing, data entry, and organizing receipts and expenses.
- Assist with onboarding logistics for new hires, including desk, supplies, and workspace setup.
- Prepare basic documents, trackers, and correspondence using Microsoft Office (Outlook, Excel, Word).
- Maintain confidentiality and professionalism at all times.
- Assist with setup and breakdown at off‑site events such as expos and conferences.
- Assist with booking travel and lodging as needed for company staff.
Required Qualifications
- Proven experience as an Administrative Assistant, Office Coordinator, Receptionist, or in a similar administrative role.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Exceptional organizational and time‑management skills, with the ability to juggle multiple requests at once.
- Professional, friendly phone and in‑person communication skills.
- Reliable, punctual, and comfortable being the consistent in‑office presence the team depends on.
- Strong attention to detail and follow‑through.
Preferred Qualifications
- Experience in construction, engineering, real estate development, or a similar project‑based industry.
- Experience coordinating vendors, supplies, or office services.
- Familiarity with task‑tracking tools such as Asana.
What Success Looks Like in This Role
- The office runs smoothly and looks professional—supplies are always stocked and nothing falls through the cracks.
- Visitors and callers are greeted and handled promptly and professionally.
- Vendors and office services are managed efficiently without leadership involvement.
- The team can count on a well‑organized, well‑supplied, and welcoming office every day.
