Job summary

Trane Technologies is seeking an Administrative Assistant to support our service sales process. You will work with Account Managers and staff to ensure customer needs are met, handling booking transitions, proposals, and project file maintenance.

The role requires strong MS Office skills, attention to detail, and the ability to multitask in a fast-paced environment. On-site with some flexible work options, offering a comprehensive benefits package.

Qualifications

  • High School diploma or GED required, up to 2 years of related experience or training.
  • At least 2 years previously in Windows environment with advanced MS Office knowledge.
  • Strong communication, proactive, team-oriented and able to work independently.

Responsibilities

  • Manage booking processes including commission splits and transitions.
  • Coordinate project transitions from Sales to Operations in enterprise systems.
  • Assist Account Managers with proposals and prepare project files for service jobs.
  • Update Salesforce and maintain accurate customer and project information.
  • Create and submit bid packages to service customers and issue COI documents.
  • Assist with contract review and maintenance in collaboration with Contract Management.

Job Summary

Under direct supervision, this position is responsible for routine administrative functions to support the service sales process. This position will work directly with Account Managers, Administrative Assistants, and other assigned staff to ensure customer needs are met.

Where is the work

Monday to Thursday, work onsite with your colleagues. Fridays, choose your work location, balancing what your work requires.

What you will do
  • Booking process – commission splits entry, fulfillment info, transitioning (Contracting) etc.
  • Coordinate the transition of projects from Sales to Operations within enterprise business systems.
  • Assist Account Managers with generating proposals.
  • Prepares and maintains project files for service-related jobs.
  • Updating Salesforce info based on information from Account Managers, customer communications, etc.
  • Creating/submitting Bid packages to potential and/or current service customers.
  • Responsible for issuing Certificates of Insurance (COI) – Direct service customers.
  • Legal Contract Review & Maintenance – work with Contract Management and area managers
  • Additional administrative tasks as assigned.
  • Flexibility to work overtime/weekends, as required.
What you will bring
  • High School diploma or GED and up to two (2) years of related experience and/or training; or equivalent combination of education and experience.
  • At least two years previous experience in a Windows environment with demonstrated knowledge and ability to use advanced features within Microsoft Office Site of products.
  • Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Ability to multitask.
  • Must be extremely organized and possess a keen sense of urgency.
  • Proven experience prioritizing tasks in order to meet tight deadlines within a high‑paced environment.
  • Demonstrated ability to perform tasks such as problem solving, decision making, rational thinking, and exercising good judgement.
  • Familiarity with the operation of HVAC Systems preferred, not required.
  • Flexibility to work overtime/ weekends, as required.

Annual Base Salary Range or Hourly Base Pay Range: $38,600.00 - $70,770.00 Compensation Type: Exception Hourly Incentive Eligible: No Sales Commission Eligible: No Disclaimer: We strive to provide competitive compensation for this position, tailored to a variety of factors.
