Position: Administrative Assistant

Location: Remote (Offsite)

Schedule: Monday–Friday, 9:00 AM – 5:00 PM ET

Type: Contract (12 months, with possible extension or conversion)

Pay Rate: Up to $23/hour

Start Date: May 26, 2025

HotFoot Recruiters is excited to partner with a leading financial services organization to find a detail-oriented and proactive Administrative Assistant. This fully remote position supports the research team focused on financial product and digital user experience research. The role involves managing schedules, organizing documentation, supporting team collaboration, and maintaining a high standard of administrative operations across the department.

Key Responsibilities:

  • Provide administrative support to enable daily operations of a remote research team.
  • Organize and schedule meetings, appointments, and calendar invites via MS Outlook and Teams.
  • Maintain electronic filing systems and ensure timely handling of confidential documentation.
  • Answer phone calls, respond to email inquiries, and assist with internal and external communication.
  • Prepare and distribute memos, reports, presentations, and expense documentation.
  • Order office supplies and coordinate travel arrangements when needed.
  • Create and update team SharePoint sites and folders for project collaboration and access.
  • Support team initiatives related to financial product research and digital product user experience (UX).
  • Assist in tracking project timelines, deliverables, and documentation through collaborative platforms.
  • Maintain accuracy across administrative records, ensuring compliance with company guidelines.

Qualifications:

  • Intermediate to advanced proficiency in Microsoft Office 365, especially Outlook, Teams, SharePoint, PowerPoint, and Excel.
  • Comfortable managing sensitive data with confidentiality and professionalism.
  • Education in psychology, social sciences, or general research/survey methodologies.
  • 3–5 years of experience in an administrative, project coordination, or support role.
  • High attention to detail with excellent time management and multitasking abilities.
  • Familiarity with research support, survey logistics, or cross-functional team coordination.
  • Experience supporting UX or customer experience (CX) initiatives in a corporate setting.
  • Ability to work independently in a fast-paced virtual environment.
