Job description

The College Place School District is currently seeking a full-time, 40 hour per week, Administrative Assistant to Executive Director of Education/School Operations. This assignment is open for internal and external consideration at this time.Internal applications completed online by 4:00 pm on Wednesay, May 7, 2025will be given priority consideration.

POSITION & BENEFITS:

Reports to:Executive Director of Education/School Operations

Bargaining Group:Non-Represented Position

FLSA Status: Non-Exempt

Position:260 Day Contract (Year-Round), 8 Hours per day between the hours of 7:00-5:00 (To be determined by supervisor).

Salary: $26.66- $31.84 per hour

Anticipated Start Date:07/01/2025

Required qualifications:

  • High school diploma or its equivalent (GED), AA Preferred

  • Experience in positions that interact in person and on the phone with the public
  • Experience in positions involving data, filing, and/or monthly duty deadlines
  • Experience working in a school setting or similar
  • Experience in human resources, state and federal programs, and curriclum departments
  • Experience working with assessment data
  • Knowledge and experience with, Skyward, Microsoft Office, IEP Online and other computer programs

The Successful Candidate Will:

  • Provide administrative assistance to the Executive Director of Education and School Operations including answering phones, maintaining calendars, scheduling appointments, researching, advertising, gathering and tracking data, preparing information and reports.
  • Maintain confidentiality of informationand materials despite being in location that interacts with the public
  • Have, at a minimum, a foundational understanding of, or ability to learn, social media posting, management of district apps, and management of the district web page.
  • Ensuring federal, state and local compliance with all Staff; certification, initial application, renewals, Paraeducator FCS/ Gen. Para Certificate tracking.
  • Ensure confidentiality of all staff and student records.
  • Send out exit packets to all retiring/resigning employees.
  • Set up and monitor staff completion of Safe Schools requirements.
  • Support Human Resources staff with the tracking of timelines and the distribution and filing of materials including: contracts, reasonable assurances, certificate renewals, seniority lists, notice of assignment forms, etc.
  • Engage in on-going recruitment of staff for open positions and substitute positions (I.e. placing newspaper ads)
  • Prepare interview packets (book room, assemble questions, confidentialityand scoring guides) for interview teams and collect and file all confidential interview files.
  • Maintain student teacher / intern applications, verify signatures & placement, background checks, maintain spreadsheet, interface with college/university advisors.
  • Perform background checks through Washington WATCH.
  • Coordinate new hire orientation.
  • Badges and safety cards.
  • Logins; email, Safe Schools, PowerSchool Records-
  • Keycard management; assigning keycards to new staff, removing keycard access, changing door locking schedules, setting up annual door lock schedule.
  • Clock hour management; track proposals, create folders, send to originator, create course survey and send to originator, input all clock hours into Skyward, create annual clock hour survey report.
  • Verification of previous employment.
  • Submit annual reports; EEOC, EEDC, CRDC, SEES
  • Perform other duties as assigned.

Working Conditions:

  • Capable of lifting ~ 40lbs ~ 5% of the time, ~ 10% of the work day standing, reaching, bending, stooping, walking and ~ 85% of the time working from a sitting position;
  • Work efficiently, effectively and timely;
  • Produce work that is accurate, neat and thorough;
  • Be reliable, trustworthy, confidential and require minimal supervision;
  • Interact and communicate with others in a respectful, courteous and cooperative manner;
  • Maintain adaptability by being positive, versatile and flexible;
  • Support school rules and District policies and procedures.
