Job Title: Administrative Assistant IV

Location: Clayton, NC 27527

Pay Rate: $34/hr on W2

Duration: 6+ Months Contract

Position Summary:

We are seeking a highly skilled and professional Administrative Assistant IV to provide comprehensive administrative and operational support to the Project Vice President, Project Director, and departmental leadership. This role is critical to the smooth functioning of daily operations and will involve managing calendars, coordinating meetings and events, preparing presentations, and supporting internal communications.

The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced and dynamic environment, particularly within the pharmaceutical industry. A high level of discretion, professionalism, and organizational capability is essential.

Key Responsibilities:

  • Provide high-level administrative support to senior project leaders and departmental management.
  • Manage calendars, schedule meetings, coordinate logistics, and ensure smooth execution of events and appointments.
  • Prepare and edit high-quality reports, memos, and presentations using Microsoft Office Suite.
  • Coordinate domestic and international travel arrangements, including itineraries and expense reports.
  • Assist in tracking and reporting Key Performance Indicators (KPIs) for the department.
  • Support onboarding processes for new hires and ensure readiness of administrative tools and resources.
  • Maintain organized filing systems and manage internal documentation.
  • Act as liaison for internal communications within the project management team.
  • Perform other administrative duties as assigned to support department goals.

Required Qualifications:

  • Education:
  • Bachelor’s degree in business administration or a related field from an accredited institution.
  • Alternatively, associate’s degree with at least 6 years of relevant experience, preferably in a pharmaceutical environment.
  • Alternatively, High School Diploma or equivalent with at least 8 years of administrative experience, preferably in a pharmaceutical setting.
  • Experience:
  • Minimum of 4 years of administrative experience required, with preference for pharmaceutical or similar regulated environments.
  • Proven ability to handle complex assignments and problem-solve effectively.
  • Strong organizational skills and attention to detail.
  • Ability to adapt quickly to changing priorities and ambiguous situations.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Professional demeanor with the ability to maintain confidentiality.
