RDR is seeking an an Administrative Assistant to round out our Ready-Mix Division.

The Administrative Assistant will provide administrative and operational support to help ensure the day-to-day activities of the mixing plant run efficiently and effectively. This position serves as a key point of contact for customers, employees, vendors, and internal divisions and assists with phone coverage, customer orders, project bidding, ticket organization, order entry, scheduling, and tracking. The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced environment where priorities may change throughout the day.

Job Summary
  • Assist with answering and directing incoming phone calls in a professional and courteous manner.
  • Provide general information to customers and direct questions to the appropriate department or employee.
  • Assist customers with orders, questions, scheduling, and service-related needs.
  • Maintain a professional and helpful attitude when interacting with customers, vendors, and employees.
  • Follow up with customers as needed to ensure questions and requests are addressed.
  • Receive and process customer orders accurately and efficiently.
  • Enter orders into the appropriate computer systems and maintain accurate records.
  • Verify order details, quantities, pricing, delivery information, and customer information.
  • Communicate order details and changes to the appropriate departments.
  • Monitor orders from entry through completion and follow up on outstanding items.
  • Maintain organized records of completed, pending, and canceled orders.
  • Assist management with preparing bids and proposals.
  • Gather pricing, materials, labor information, and other documentation needed for project bids.
  • Enter and organize bid information accurately.
  • Assist with tracking bid opportunities, deadlines, submissions, and results.
  • Maintain organized files and records for current and completed bids.
  • Communicate with customers, vendors, and internal personnel regarding bid-related information as directed.
  • Organize and maintain tickets, work orders, service requests, and related documentation.
  • Ensure tickets are properly entered, updated, and routed to the appropriate personnel.
  • Track outstanding tickets and follow up on items requiring additional information or action.
  • Maintain accurate records of ticket status, completion, and scheduling.
  • Assist with scheduling work, deliveries, services, and customer requests.
  • Coordinate schedules with customers, employees, drivers, vendors, and field personnel.
  • Maintain calendars and scheduling records.
  • Track projects, orders, tickets, and other assignments to ensure deadlines are met.
  • Communicate schedule changes and updates to affected personnel.
  • Prepare, organize, scan, file, and maintain company documents and records.
  • Enter and maintain information in company software, spreadsheets, and databases.
  • Assist with administrative tasks as needed.
  • Maintain confidentiality of company, employee, customer, and business information.
  • Perform other duties and responsibilities as assigned by management.
Preferred Qualifications
  • Previous experience in construction, utilities, oil and gas, trucking, or another field-service environment.
  • Previous administrative, office, customer service, or related experience preferred.
  • Strong computer and data-entry skills.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Strong organizational and time-management skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently while also functioning effectively as part of a team.
  • Professional and courteous customer-service skills.
  • Ability to maintain accurate records and follow established processes.
  • Experience with order entry, ticketing systems, scheduling, or project coordination.
  • Experience assisting with bids, estimates, proposals, or project documentation.
  • Familiarity with spreadsheets and tracking reports.
  • Experience working in a fast-paced office or operations environment.
