Job summary

State Bank Administrative Assistant role provides proactive, high-quality support to a team of executives. The position coordinates schedules, meetings, communications, documents, and presentations with confidentiality and professionalism.

You will balance detailed administrative work with broader team support in a fast-paced environment, maintaining polished communications and accurate records for multiple leaders.

Qualifications

  • Three or more years of progressively responsible administrative support experience preferred; experience supporting multiple leaders, senior executives, or a Board is strongly preferred.
  • Associate's or bachelor's degree preferred; an equivalent combination of education and relevant experience will be considered.
  • Strong proficiency in Microsoft Word, PowerPoint, and Outlook, with working knowledge of Excel for basic spreadsheets, trackers, and data organization.
  • Experience in banking, financial services, a law firm, or another regulated or confidentiality-sensitive environment is helpful but not required.

Responsibilities

  • Provide day-to-day administrative support to multiple executives, helping organize priorities, manage commitments, and maintain timely follow-through.
  • Schedule and coordinate meetings, manage changing calendars, prepare agendas and materials, and arrange travel or other logistics as needed.
  • Draft, edit, format, proofread, and finalize correspondence, reports, memos, agendas, and other business documents with a high degree of accuracy.
  • Create and refine professional presentations for executive, employee, Board, and external audiences using direction and source materials provided by leaders.
  • Attend meetings as requested; capture decisions, notes, and action items; organize next steps; and help ensure commitments are completed.
  • Assist with Board meeting materials, communications, logistics, and records while maintaining strict confidentiality and professionalism.
  • Gather input from internal partners, organize information, maintain trackers, and prepare materials needed for decisions and business priorities.
  • Process expense reports, maintain files and records, coordinate correspondence, and support other recurring administrative processes.
  • Serve as a responsive point of contact for employees, customers, directors, and external partners; handle calls and messages with confidence and sound judgment.
  • Provide flexible administrative and project support across the executive team and other areas of the Bank as priorities evolve.

KEY RESPONSIBILITIES
