  • Anticipate needs, resolve scheduling conflicts, manage multiple priorities.
  • Support senior leaders, Investment Team, cross-office initiatives.
  • Assist with presentation prep, event coordination, HR admin, client relations, and special projects.
  • Maintain professionalism, confidentiality, sound judgment, and independence.

Job description

The Administrative Assistant serves as a key partner in ensuring seamless executive support, exceptional client experience, and efficient office operations. This role requires a highly organized professional with strong calendar and travel coordination skills, outstanding interpersonal communication, and a proactive approach to anticipating needs before they arise.

The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can confidently manage multiple priorities, projects, and competing deadlines with professionalism, discretion, and sound judgment. This position provides critical administrative support while serving as a trusted resource to internal teams, clients, and leadership.

Responsibilities
  • Serve as the first point of contact by greeting visitors, managing calls, registering guests, and ensuring a polished front desk experience.
  • Oversee day-to-day office operations, including conference rooms, office equipment, supplies, catering, mail distribution, and vendor/building coordination.
  • Manage complex calendars, scheduling, travel arrangements, expense reports, and confidential correspondence for executives.
  • Proactively anticipate needs, resolve scheduling conflicts, and manage multiple priorities with exceptional organization and follow-through.
  • Build strong relationships across departments while supporting senior leaders, the Investment Team, and cross-office initiatives.
  • Assist with presentation preparation, event coordination, HR administrative support, client relations, and other special projects as needed.
  • Maintain the highest level of professionalism, confidentiality, sound judgment, and customer service while working independently in a fast-paced environment.
Ideal Experience
  • Bachelor's degree preferred.
  • 3–5+ years of administrative, executive support, office coordination, or front desk experience, preferably within investment management, finance, consulting, legal, or another professional services environment.
  • Warm, polished, professional demeanor with exceptional customer service skills and sound judgment.
  • Highly organized, detail-oriented, proactive, and resourceful with the ability to anticipate needs, prioritize competing demands, and work independently.
  • Proficient in Microsoft Office Suite, particularly Outlook for complex calendar management (assessment required), PowerPoint presentation formatting, expense reporting, and learning new systems and technology quickly.
