Job summary

Organo USA, Inc. seeks an Administrative & Logistics Coordinator to support office administration and logistics, including handling documents, records, vendor communications, and employee support.

The role oversees purchasing, procurement, inventory, and shipping/receiving processes to maintain an efficient work environment. Qualifications

  • Intermediate in Microsoft Office Suite and standard business productivity software.
  • Strong organizational, time-management, and multitasking abilities with high attention to detail in high-volume settings.
  • Demonstrated ability to accurately transcribe messages and capture vital information over the phone or in person.
  • Foundational understanding of administrative operations, recordkeeping systems, and physical/digital filing.
  • Take initiative and be able to work independently with minimal supervision.
  • Willingness to provide after-hours support to monitor, troubleshoot, and resolve critical operational issues if, or when required.
  • Resourceful.
  • Equipped with a valid driver's license for inter-site travel and routine errands.

Responsibilities

  • Oversee reception services, mail distribution, and overall shipping/receiving logistics.
  • Manage incoming phone, email, and general inquiries, routing them to the appropriate team members efficiently.
  • Greeting visitors professionally and ensure meeting rooms are prepared for scheduled sessions.
  • Manage office upkeep, facilities maintenance, and company inventory tracking.
  • Maintain digital and physical filing systems to ensure fast, reliable record retrieval.
  • Synthesize data from emails, meeting minutes, and company documents to produce concise written summaries.
  • Source equipment and manage procurement needs.
  • Assist HR with onboarding logistics, including equipment distribution and personnel record updates.
  • Resolve office-related inquiries and coordinate repairs for office equipment.
  • Execute additional administrative duties and special projects as assigned.
