Colville Tribes Head Start in Omak, WA seeks an Administration Assistant Sr. to provide specialized secretarial and administrative support under the Executive Assistant Senior.

Salary Range: $24.03 - $27.86 Hourly

POSITION: Administration Assistant Sr.

SALARY: $24.03-$27.86, per hour

REPORTS TO: Site Supervisor

LOCATION: Head Start, Omak, WA

Basic Functions:

This is a Non-Exempt position. Oversees and performs specialized secretarial and administrative support duties, including (but not limited to) transcribing of specialized or technical notes, composing of original documents, administration of office routines and systems, processing of financial transactions, records management, and reception. Assists with administrative projects and programs that impact and/or involve other organization units and locations under the direct supervision of the Executive Assistant Senior.

QualificationsMINIMUM QUALIFICATIONS:
  • High school diploma plus Associate’s degree and 0-2 years of experience.
  • Valid Washington State Driver’s License, Class “C” CDL with Passenger and Student Endorsements preferred.
  • Must be eligible for the Tribe’s vehicle insurance and to maintain same throughout employment.
  • CPR/1st Aid may be obtained within 90 days of hire.
  • Washington State Food Worker Card may be obtained within 10 days of hire.
  • HIV/Blood Borne Pathogens Training may be obtained within 6 months of hire.
  • Mandatory Reporter Training may be obtained within 10 days of hire.
  • Must submit to and successfully clear an extensive criminal background inquiry and maintain clearance throughout employment -Washington State Patrol Background Clearance, Tribal Police Background Clearance, FBI Fingerprint Clearance, Sex Offender Registry Clearance, Child Abuse and Neglect Clearance.
  • Must provide reference check when applying or application will be considered incomplete.
Knowledge, Skills, and Abilities:
  • Requires working knowledge of modern office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing.
  • Requires working knowledge of Tribal enterprise and government, department operations, policies, procedures, and calendars.
  • Requires a working knowledge of, and skill at using personal computer based software programs that support this level of work, including but not limited to word processing, spreadsheet, basic presentation graphics, special applications used by the organization unit, and data entry onto custom databases.
  • Requires sufficient math skills to perform financial and statistical record keeping.
  • Requires sufficient knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence.
  • Requires sufficient human relations skill to work productively and cooperatively with diverse teams, exercise patience when dealing with internal and external customers, and convey technical concepts.
  • Requires the ability to independently perform all of the duties of the position.
  • Requires the ability to accurately take and transcribe notes and/or meeting minutes/recollections.
  • Knowledge of Tribal enterprises, government, and organization unit services, operations, programs, functions, special terminology used in day-to-day operations, and to relieve others of a variety of administrative details.
  • Requires the ability to prepare spreadsheets, graphs and charts, and enter, import, and export data to and from databases.
  • Requires the ability to plan, organize and prioritize work in order to meet schedules and timelines.
  • Requires the ability to communicate with management, staff, and the community using patience and courtesy, and in a manner that reflects positively on the organization unit.
  • Demonstrated history of strict confidentiality standards.
  • Experience that reflects exceptional administrative assistance skills under pressure in fast paced and sometimes stressful environment.
  • Knowledge or practices, principles and techniques associated with accounting, office administration, and records management to assist Administration with timely submission of all financial and Administrative reports.
  • Knowledge of tribal and federal agencies’ contracting processes, purchasing, administrative processes, accounting principles and procedures as well as budget planning and maintenance experience.
  • Ability to attend and successfully complete CACFP/USDA (Food & Nutrition) training on reporting and reimbursement.
  • Use of general office equipment (copier, fax, calculator, etc.), especially demonstrated competence in computing and software such as Microsoft Office, Excel and Word and Internet.

Pursuant to Tribal Policy, if this position is safety sensitive it is subject to pre-employment drug testing. In addition, this position is subject to reasonable suspicion and post-accident drug testing.

TRIBAL MEMBER AND INDIAN PREFERENCE WILL APPLY; PREFERENCE WILL ALSO BE GIVEN TO HONORABLY DISCHARGED VETERANS WHO ARE MINIMALLY QUALIFIED.

If required of this position, you must possess and maintain a valid Washington State driver's license and be eligible for the Tribes’ Vehicle Insurance. In addition, this position may be subject to pre-employment background clearances. If applicable, these clearances must be maintained throughout employment.
