About the Agency
The Mississippi Department of Mental Health (DMH) certifies, provides, and/or financially supports a network of services for people with mental illness, intellectual/developmental disabilities, and substance use disorders. This position is in the Mississippi Department of Mental Health's Central Office, which provides the overall statewide administrative functions for the programs and services that fall under the oversight of the agency. This is a position in the MS Department of Mental Health’s Central Office. This position will provide administrative support in the Division of Certification. The Administrative Support Team Leader provides comprehensive administrative and operational support to the Division of Certification and assists with coordinating day-to-day administrative functions. This position helps ensure that certification processes, records, deadlines, meetings, correspondence, and other division activities are handled accurately, timely, and efficiently. The incumbent will be responsible for the following tasks:
- Providing administrative and operational support to Division of Certification staff and assisting with coordination of routine division activities.
- Managing calendars, meetings, deadlines, travel, trainings, and other scheduling or logistical needs.
- Preparing, formatting, proofreading, editing, and distributing correspondence, reports, meeting materials, Operational Standards, and other documents.
- Processing incoming and outgoing correspondence and routing inquiries or requests to the appropriate staff.
- Maintaining accurate and organized electronic and paper records, including certification files, provider trackers, databases, applications, reports, submissions, and deadlines.
- Assisting with data entry, records management, and use of certification databases and other tracking systems.
- Preparing and assisting with Certification Review Committee materials and meeting minutes.
- Assisting with Operational Standards revisions, including document preparation, organization, filing with the Mississippi Secretary of State’s Office, and maintaining updated Standards binders.
- Ordering and maintaining office supplies and other administrative resources.
- Supporting special projects, trainings, and other division initiatives.
- Prioritizing multiple assignments, identifying and resolving routine administrative issues, anticipating division needs, and communicating potential concerns or recommended solutions as appropriate.
- Maintaining confidentiality and exercising sound judgment when handling sensitive information.
- Performing other administrative duties as assigned.
Communicate professionally and effectively with DMH staff, providers, and other individuals interacting with the Division.
- Effectively use required software, systems, databases, office equipment, and other tools needed to support Division operations.
- Maintain organized and accurate records, correspondence, calendars, deadlines, and other documentation.
- Manage multiple priorities and assignments with strong attention to detail.
- Recognize and address routine administrative issues and know when matters should be elevated to other staff.
- Handle confidential and sensitive information with discretion.
- Work independently with minimal supervision while also functioning effectively as part of a team.
- Adapt to new technology, processes, and administrative needs.
- Take appropriate initiative to support workflow, communication, and overall office efficiency.
What you'll need to be Successful
- Proficiency with Microsoft Office applications, Adobe, SharePoint, DocuSign, electronic records systems, databases, or similar workflow/document-management platforms.
- Strong organizational, time-management, written communication, and attention-to-detail skills.
- Demonstrated ability to work independently, prioritize competing assignments, identify routine problems, and communicate potential solutions.
Preferred Qualifications
Typically requires High School Diploma or equivalent and 5-7 years of experience. Preference may be given to candidates who have:
- Administrative experience in a governmental, legal, regulatory, healthcare, behavioral health, or other professional office setting.
- Experience supporting a division, department, executive, or professional team with multiple responsibilities and deadlines.
- Experience maintaining records, databases, spreadsheets, tracking systems, or other organized information-management systems.
- Experience preparing professional correspondence, reports, meeting materials, policies, standards, or similar documents.
- Experience coordinating calendars, meetings, travel, trainings, and related logistics.
- Experience preparing formal meeting minutes.
- Experience tracking applications, reports, deadlines, or other time-sensitive submissions.
- Experience handling confidential or sensitive information.
