As a Corporate Office Administrator Coordinator, you will play a vital role in supporting the administrative operations of our behavioral health programs. This position is essential in ensuring compliance with regulatory standards, maintaining accurate records, and facilitating effective communication between staff, clients, and service providers. Responsibilities
  • Maintain all CARF and State report binders to ensure compliance with regulatory requirements.
  • Ensure log reviews, monthly and quarterly supervision, and quarterly chart reviews are conducted by licensed professionals and filed appropriately.
  • Conduct monthly and quarterly inspections and drills in accordance with DMH standards, maintain documentation, and file records as required.
  • Coordinate staff trainings with licensed mental health professionals for community support staff.
  • Record and maintain minutes of staff meetings, ensuring accurate documentation and timely filing.
  • Actively participate in weekly inner office staff meetings, maintaining and filing meeting minutes.
  • Assist in gathering necessary information for submission to client insurance health plans.
  • Receive client referrals, gather general information, and schedule initial assessments for services.
  • Prepare documents for assessments and related activities.
  • Conduct appointment reminders for clients regarding initial and concurrent assessments, psychiatric appointments, and other services.
  • Perform monthly insurance verifications and maintain accurate records.
  • Track insurance unit availability per client on office service summaries.
  • Maintain weekly schedules for community service providers with input from licensed professionals.
  • Communicate weekly with community service providers regarding client insurance status, overlaps, and overages.
  • Collect and review community support provider logs for overlaps and overages.
  • Maintain weekly census reports and community provider hours projected and worked reports, submitting them to designated corporate staff.
  • Build new client clinical and medical charts within 24 to 48 hours of initial intake assessment.
  • Maintain client clinical and medical charts, ensuring timely and accurate filing of all documentation.
  • Oversee the office chart room, order office supplies as needed, and ensure proper maintenance of office equipment such as copiers.
  • Follow all safety rules and complete all required training related to the position.
  • Perform other duties as assigned to support office and program operations.
