We are looking for a dependable, organized, and customer-focused Administrative Associate to join our office team. This position is an essential part of our day-to-day operations, serving as the first point of contact for our customers while supporting our service department from the initial customer call through invoicing and collections.
Answer incoming phone calls and greet customers in a professional, friendly manner.
Receive customer service requests and create accurate work orders.
Coordinate service requests with technicians and office staff.
Track work orders from creation through completion.
Review completed work orders for accuracy and prepare customer invoices.
Process invoices in a timely manner.
Monitor accounts receivable and follow up with customers regarding outstanding invoices.
Maintain accurate customer records and documentation.
Respond to customer questions regarding service requests, scheduling, billing, and account information.
Communicate professionally with customers, vendors, technicians, and project managers.
Assist with filing, document management, and other administrative duties as assigned.
Support the daily operations of the office and service department.
High school diploma or equivalent required.
Two or more years of administrative, customer service, or office experience preferred.
Excellent customer service and communication skills.
Strong attention to detail and organizational abilities.
Ability to prioritize multiple tasks and work efficiently in a fast-paced environment.
Comfortable discussing invoices, payments, and collections with customers in a courteous and professional manner.
Proficient with Microsoft Outlook, Word, and Excel.
Experience with work order management, scheduling, accounting, or ERP software is preferred.
Experience in the construction, service, electrical, fire alarm, security, or low-voltage industry is a plus but not required.
