Job summary

Custom Care Hospice in Grapevine, TX is seeking an Office Coordinator to support clerical functions and ensure smooth operation of the front office.

Responsibilities include handling phone inquiries, maintaining patient files, processing doctor orders, and coordinating with the Executive Director to keep confidentiality and compliance with Medicare/Medicaid regulations. Strong typing and MS Office skills required.

Qualifications

  • Minimum of two years of experience in hospice or health care.
  • Graduation from a one- or two-year business college preferred.
  • Proficient typing and standard office software.

Responsibilities

  • Coordinates and assists in maintaining the paper flow of clerical office functions.
  • Answers telephone inquiries and channels them appropriately.
  • Maintains files, supplies and general office condition in an orderly manner.
  • Handles all correspondence and word processing for the hospice organization.
  • Maintains administrative and clerical files.
  • Ensures doctor order forms are current and compliant with Medicare/Medicaid.
  • Updates patient forms in separate files and sends orders to physicians for signature.
  • Keeps log of documents sent and ensures return with signatures.
  • Purchases and manages postage; closes out patient records when discharged.
  • Maintains patient statistics using the Management Information System.
  • Other duties as assigned by the Director.

THIS POSITION IS MONDAY-FRIDAY 8AM-5PM. and located in Grapevine, Tx. SALARY RANGE $16-$20 HOURLY

JOB SUMMARY

This position coordinates and assists the agency in maintaining the paper flow of clerical functions in the office and answers telephone inquiries and channels them appropriately.

DUTIES & RESPONSIBILITIES
  • Provides assistance to the Executive Director preserving the confidential nature of items of which he/she has knowledge.
  • He/she must maintain the files, supplies and general office condition in an orderly manner.
  • Handles all correspondence and word processing for the hospice organization.
  • Is responsible for maintaining administrative and clerical files.
  • Makes sure that all doctor's order forms and related forms are current and in compliance with Medicare and Medicaid regulations.
  • Updates all current forms in separate patient files.
  • Sends doctor's orders to physicians when received from nurses for their signature.
  • Keeps current log of what is sent to make sure they are returned with signature.
  • Purchases and keeps postage on hand.
  • Closes out patient's clinical record when discharged.
  • Maintains current patient statistics utilizing the Management Information System.
  • Other duties as assigned by the Director.

JOB REQUIREMENTS (Education, Experience, Knowledge, Skills & Abilities)

Minimum of two years of experience preferably in hospice or health care, or graduation from a one- or two-year business college preferred.

Is at least eighteen years of age.

Able to type 50 words per minute Word processing, Excel, PowerPoint skills preferred
