Job description

The Accounts Receivable Specialist is responsible for performing billing and collection activities for Baranko Environmental, LLC, supporting our environmental cleanup, waste management, and oilfield service operations. Reporting to the Assistant Controller, this position plays a critical role in maintaining accurate financial records, ensuring timely customer invoicing, and supporting the company's cash flow through proactive accounts receivable collection efforts. The role requires close coordination with field personnel, operations leadership, and customers to ensure services are accurately billed in accordance with contractual terms and customer‑specific requirements. The ideal candidate is detail‑oriented, organized, self‑motivated, and comfortable working with multiple software platforms in a largely paperless environment. Success in this position requires strong communication skills, personal accountability, and a proactive approach to resolving billing issues and collecting outstanding balances.

RESPONSIBLITIES
  • Prepare accurate and timely customer invoices using field labor/equipment timecards and supporting documentation, primarily for time-and-material billings, including pass-through charges.
  • Review and verify billing information for completeness and accuracy, coordinating with field operators, supervisors, and operations management to resolve discrepancies or obtain missing information.
  • Ensure compliance with customer‑specific invoicing requirements, including purchase orders, job references, supporting documentation, electronic submission platforms, and applicable deadlines.
  • Submit invoices through customer portals, including OpenInvoice, and monitor submissions to ensure successful acceptance and timely processing.
  • Monitor accounts receivable aging reports, proactively follow up on past‑due balances, and maintain consistent communication with customers regarding payment status.
  • Investigate and resolve invoice disputes, rejected invoices, and payment discrepancies in a timely and professional manner.
  • Take personal ownership of outstanding receivables, maintaining organized collection records and escalating unresolved or significantly past‑due accounts to the Assistant Controller or appropriate leadership.
  • Complete month‑end accounts receivable cutoff procedures as assigned.
  • Maintain accurate and organized electronic billing records, customer correspondence, and supporting documentation in accordance with company procedures.
  • Collaborate with finance and operations leadership to identify billing inefficiencies, improve internal processes, and minimize delays in invoicing and collections.
  • Provide accounts receivable reporting and analysis as requested, including aging balances, collection status, and outstanding billing issues.
  • Perform credit card reconciliations monthly for all Baranko Companies, including follow‑up for any missing receipts or expense coding information.
  • Maintain confidentiality of customer and company financial information and comply with established accounting procedures and internal controls.
  • Demonstrate company Core Values through teamwork, accountability, respectful communication, and a commitment to continuous improvement.
  • Perform other related finance and administrative duties as assigned.
REQUIREMENTS
  • Minimum of associate's degree in finance or a related field, or 3 years of equivalent experience in accounts receivable or a closely related accounting role.
  • Previous experience with accounts receivable, customer invoicing, collections, and basic accounting procedures.
  • Experience in the oilfield services, environmental services, construction, or transportation industries preferred.
  • Familiarity with time-and-material billing, equipment and labor rates, purchase orders, and customer‑specific billing requirements preferred.
  • Proficiency in Microsoft Office applications, particularly Outlook and Excel, and comfort working with Adobe Acrobat and electronic document management systems.
  • Experience with HCSS HeavyJob, ComputerEase, OpenInvoice, or similar accounting, timekeeping, and customer invoicing platforms preferred, but not required.
  • Ability to learn new software systems and adapt to evolving paperless processes and technology.
  • Must pass a pre‑employment drug test and comply with drug and alcohol policies during employment.
