Job description

The Accounts Receivable Specialist is responsible for managing a portfolio of high-volume, chargeback-intensive key accounts. This role requires a high degree of organization, proactive communication, and analytical follow-through. The specialist owns the full AR lifecycle for their portfolio: from invoice verification and collections to chargeback resolution, reconciliation, cash application support, and cash flow reporting. Success in this role is measured by the accuracy and timeliness of account maintenance, the quality of reporting delivered to management, and the ability to independently identify, resolve account issues before they impact cash flow or financial reporting.

What You Get to Do:
  • Serve as the primary AR point of contact for assigned accounts, partnering closely with Sales, Account Management, Logistics, IT, and Finance
  • Manage vendor portals and contacts to support account setup and inquiry resolution
  • Maintain organized, up-to-date customer statements showing future due invoices, past-due balances, credits, chargebacks, and deductions, ensuring nothing is missing or misapplied.
  • Own the chargeback process end-to-end - logging claims, investigating pricing and shortage issues, and escalating aged or high-dollar items before deadlines
  • Reconcile large customer returns, coordinating with logistics, account management, and the customer through to resolution.
  • Monitor aging reports daily, follow up on past-due balances, and elevate problem accounts to the AR Manager with clear next steps.
  • Support cash forecasting with accurate collection estimates and expected payment timing; assist with year-end reserve calculations.
  • Assist with ad hoc projects as needed, including warranty reconciliation, wholesale collections, cash application, customer master maintenance, and AR inbox correspondence.
What You’ll Bring to the Team:

Accounts receivable, collections, or related finance experience. The ideal candidate will have a background managing high-volume or chargeback-heavy accounts in a retail or wholesale environment preferred.

  • Proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and data organization.
  • Strong organizational skills, with the ability to manage multiple accounts and competing priorities.
  • Clear, professional written and verbal communication skills with all internal and external stakeholders.
  • Ability to work independently and take ownership of assigned accounts.
  • Familiarity with ERP or order-management systems (e.g., Infor M3) is a plus - not required. We're happy to train the right candidate.
How Your Success Will Be Measured
  • Accountability: Ownership of assigned accounts and deliverables, with minimal need for follow-up or reassignment.
  • Attention to Detail: Accuracy and completeness of account records, with discrepancies identified and resolved before they escalate.
  • Proactive Communication: Timeliness and clarity of account status updates, with issues surfaced to the manager before they become urgent.
  • Organization: Consistency and readiness of account documentation, trackers, and statements for manager review at any time.
  • Professionalism: Quality of working relationships with colleagues, customers, and stakeholders, reflected in respectful, collaborative engagement.
  • Analytical Thinking: Root-cause resolution rate on chargebacks, pricing errors, and account discrepancies, rather than recurring or surface-level fixes
