Responsibilities

  • Generate and send invoices to customers.

  • Follow up on, collect, and allocate payments.
  • Monitor customer accounts for non-payments and discrepancies.
  • Research and resolve payment discrepancies.
  • Generate and distribute monthly customer statements.
  • Maintain AR files and records.
  • Prepare monthly, quarterly, and annual receivables reports.
  • Support management on special projects.

Position Summary

The Accounts Receivable Specialist will be responsible for managing incoming payments, ensuring accurate and timely processing of invoices, and maintaining financial records related to accounts receivable.

Expected Hours of Work

Typical schedule is Monday - Friday 8am – 4:30pm, with the rare need for work on Saturdays (during month and year end financial closings)

Essential Functions
  • Generate and send out invoices to customers.
  • Carry out billing, collection, and reporting activities according to specific deadlines, including various special processing procedures for university customers (e.g., vouchers, summer groups and Inter Departmental Invoices).
  • Weekly compilation of gratuities for payroll processing.
  • Follow up on, collect, and allocate payments.
  • Monitor customer account details for non-payments, delayed payments, and other irregularities.
  • Research and resolve payment discrepancies.
  • Generate and distribute monthly customer statements.
  • Maintain accounts receivable customer files and records.
  • Prepare monthly, quarterly, and annual reports on receivables.
  • Special projects as requested by management.
Education and Training

Associate’s degree in accounting, Business or related field preferred

  • Proven working experience as an Accounts Receivable Specialist or similar role.
  • General Ledger experience preferred.
  • Proficiency in MS Office and accounting software (e.g., Sage Intacct preferred).
  • High degree of accuracy and attention to detail.
  • Excellent communication, organizational, customer service and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Excellent mathematical and analytical skills.
Physical and Mental Demands
  • The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch, or crawl
  • The employee must frequently lift and or move up to 10 lbs. and occasionally lift and or move up to 25 lbs

Summary

This position is an hourly non-exempt role, the anticipated minimum range for compensation for the position is $19/hr and the maximum is $24/hr. This role is also eligible for yearly performance based increases that are subject to change or end at any point in time.
