SUMMARY: The Accounts Payable (AP) Supervisor is responsible for overseeing the company’s day-to-day accounts payable functions, ensuring accurate and timely processing of vendor invoices and payments. This role supervises a small team (1–2 AP staff members) and plays a key role in maintaining strong internal controls and fostering process improvements.
Key Responsibilities
- Supervise and support a team of 1–2 AP staff members, including training, mentoring, and performance management.
- Oversee daily AP operations, including invoice coding, approvals, payment processing, and expense reimbursements.
- Ensure accurate and timely processing of all accounts payable transactions in accordance with company policies and accounting standards.
- Manage month-end closing activities related to AP, including accruals, reconciliations, and reporting.
- Monitor and resolve AP-related issues with vendors, internal departments, and AP team members.
- Maintain vendor master data and ensure compliance with W-9 and 1099 reporting requirements.
- Assist in internal and external audits by providing documentation and addressing inquiries related to AP.
- Identify and implement process improvements to increase efficiency and accuracy in AP operations.
- Enforce internal controls and ensure adherence to company policies and procedures.
- Collaborate cross-functionally with Purchasing, Receiving, and other departments to ensure smooth financial operations.
Qualifications
Required:
- Minimum 5 years of experience in accounts payable or general accounting roles.
- At least 2 years of supervisory or team lead experience within an AP function.
- Strong knowledge of AP systems and general accounting principles.
- Excellent organizational and time-management skills with attention to detail.
- Proficiency with Microsoft Excel and Sage.
- Strong communication and interpersonal skills.
Preferred
- Experience with process improvement initiatives (e.g., automation or paperless AP workflows).
- Associate's or Bachelor's degree in Accounting, Finance, or related field.
