Job summary

RethinkFirst in the United States is seeking an AP Specialist to join our accounting and finance team. You will manage the full-cycle accounts payable, enter invoices in Sage Intacct, and ensure accurate GL coding and timely approvals.

This role supports vendors, employees, and internal departments. Ideal candidates have 3–5 years of AP experience, strong Excel skills, and the ability to work independently in a remote-first environment.

Qualifications

• 3–5 years of full-cycle AP experience.
• Bachelor’s degree in accounting or finance preferred.
• Advanced Excel skills: PivotTables, VLOOKUP.
• Experience with Sage Intacct ERP.
• Excellent analytical and problem-solving skills.
• Strong communication, organizational skills, multitasking.
• Ability to work independently on deliverables and meet deadlines.
• Ability to prioritize competing deadlines.

Responsibilities

• Manage full-cycle AP; monitor AP inbox and record invoices in Sage Intacct.
• Match invoices to POs and receiving docs; secure proper approvals.
• Reconcile vendor statements and resolve discrepancies.
• Communicate AP questions with employees, vendors, and internal teams.
• Reconcile AP GL accounts and assist month-end close.
• Review employee expenses and corporate card transactions.
• Serve as point person for procurement tool; provide user support.
• Ensure compliance with policies and internal controls.
• Assist with audit requests and provide AP documentation.
• Identify opportunities to improve AP processes and efficiency.

We are currently seeking an A/P Specialist to join our accounting and finance team.

Key Responsibilities:

• Manage the full-cycle AP function, including monitoring the AP inbox and entering invoices in Sage Intacct with accurate GL coding.
• Match invoices to purchase orders and receiving documentation while ensuring proper approvals are obtained.
• Reconcile vendor statements and resolve invoice discrepancies in a timely manner.
• Communicate with employees, vendors, and internal departments about AP-related questions.
• Reconcile AP-related general ledger accounts and assist with month-end close activities.
• Review and process employee expense reports and corporate credit card transactions.
• Serve as the point person for our procurement tool, including user support and approval workflow maintenance.
• Ensure compliance with company policies and internal controls.
• Assist with audit requests and provide AP documentation as needed.
• Identify opportunities to improve AP processes and increase efficiency.

Qualifications & Skills:

• 3–5 years of full-cycle Accounts Payable experience; bachelor’s degree in accounting or finance preferred.
• Strong understanding of accounts payable principles and general accounting practices.
• Advanced Excel skills (ability to create pivot tables, VLOOKUP functions).
• Experience with an ERP system such as Sage Intacct preferred.
• Excellent analytical and problem-solving skills.
• Strong communication (verbal and written), organizational skills, and ability to multitask.
• Ability to work independently on deliverables to achieve accurate results.
• Ability to prioritize competing deadlines.
