About Us:
Diamond Mattress is a fourth-generation, family-owned and operated U.S. mattress manufacturer with 80 years of experience in sleep wellness. We design and manufacture quality sleep products in California and Texas and sell to retail partners across the U.S. Our shared-services finance team supports multiple operating entities across both states, and we value accuracy, ownership, and continuous improvement.
Position Overview:
We are looking for an experienced Accounts Payable Specialist to join our U.S.-based finance team remotely and own full-cycle AP across our multiple entities. The ideal candidate has supported a U.S. company’s AP function, has handled multi-entity books, ideally in manufacturing or distribution, and communicates confidently in English with our team and vendors during U.S. Pacific business hours.
Key Responsibilities:
- Review, code, and enter vendor invoices for multiple entities in our ERP, ensuring the correct entity, GL coding, and approvals
- Perform three-way match (PO, receiving, invoice) for raw materials, components, and freight; resolve price and quantity variances with Purchasing and Receiving
- Process non-PO invoices and company card expenses in Ramp, confirming receipts, coding, and approvals are complete
- Prepare weekly payment runs (ACH, check, and wire) for each entity in line with approval requirements and cash priorities
- Maintain vendor master data, W-9s, and banking details; verify all bank-change requests to prevent payment fraud
- Serve as the point of contact for vendor inquiries, statements, and past-due notices with our U.S.-based vendors
- Coordinate remotely with Purchasing, Receiving, and Operations in California and Texas to obtain missing invoices, approvals, and receiving documents
Multi-Entity & Intercompany
- Ensure invoices and payments post to the correct entity; identify shared costs and intercompany charges between our California and Texas operations
- Support intercompany reconciliations and keep entity-level AP clean and audit-ready
Reconciliation & Month-End Close
- Reconcile vendor statements and the AP subledger to the general ledger for each entity every month
- Prepare AP accruals, aging reports, and close support on schedule
- Maintain organized documentation for audits
Process Improvement
- Help build and document AP standard operating procedures and recommend improvements to efficiency, accuracy, and controls
Requirements:
- 3–5+ years of accounts payable experience supporting a U.S.-based company (U.S. vendor practices, ACH/check/wire payments, W-9/1099)
- Multi-entity AP experience required, including intercompany transactions
- Experience in manufacturing, distribution, or wholesale strongly preferred
- Hands-on experience with three-way match, vendor reconciliations, and payment runs
- ERP experience (e.g., NetSuite, Sage, Epicor, Acumatica, or similar); Ramp, Bill.com, or similar tools a plus
- Advanced English (written and verbal); comfortable on video calls with U.S. team members and vendors
- Full availability during U.S. Pacific business hours
- Reliable high-speed internet, a quiet home workspace, and backup connectivity
What We Offer:
- Competitive monthly compensation paid in USD
- Full-time, long-term role with a stable, family-owned U.S. manufacturer
- Direct work with our U.S. finance team and exposure to multi-entity accounting
