Responsabilidades

• Process vendor invoices and verify accuracy, including PO matching and receiving docs.
• Manage AP transactions and help resolve invoice discrepancies.
• Prepare and maintain sales tax filings and related records.
• Process employee expense reimbursements with proper documentation.
• Provide occasional accounts receivable support and handle customer inquiries.
• Coordinate with warehouse and internal teams on POs, receipts, pricing, and deliveries.
• Assist with accounting system updates and identify process improvements.
• Provide general administrative and accounting support as needed.

Overview of the Role

The Accounts Payable Specialist will manage day-to-day AP activities while providing additional support with sales tax, expense reimbursements, accounts receivable, and general office operations. The ideal candidate is detail-oriented, dependable, and comfortable working independently while collaborating with a small team.

Responsibilities

• Process vendor invoices and verify accuracy, including matching invoices to purchase orders and receiving documentation.
• Manage accounts payable transactions and assist with resolving invoice discrepancies.
• Prepare and maintain sales tax filings and related records.
• Process employee expense reimbursements and ensure appropriate documentation.
• Provide occasional accounts receivable support and assist with customer inquiries.
• Communicate with warehouse personnel and internal team members regarding purchase orders, receipts, pricing, and deliveries.
• Assist with accounting system updates and help identify opportunities to improve processes.
• Provide general administrative and accounting support as business needs arise.

Preferred Qualifications / What You Bring

• Previous accounts payable or general accounting experience.
• Familiarity with purchase orders, invoice processing, and three-way matching.
• Experience with QuickBooks Online is preferred; QuickBooks Desktop or other accounting software experience is also welcome.
• Sales tax experience is a plus.
• Strong attention to detail and organizational skills.
• Basic Excel and data-entry skills.
• Comfortable learning new technology, including AI tools used for research, data analysis, and collaboration.
• A flexible, team-oriented approach and willingness to take on tasks outside the typical AP function.
• Professional communication skills and the ability to work effectively in a shared office environment.
