Job summary

Northwest Ambulance is building its accounting department from the ground up. This full-time, non-exempt, on-site role in Everett will own accounts payable end-to-end, maintain the vendor file, and perform revenue reconciliations with the billing partner.

You will help design and implement processes for coding invoices, validating payments, and handling refunds and credit balances, while training to run payroll backups in ADP.

Qualifications

• Associate's degree in accounting (required).
• 2+ years of full-cycle accounts payable or general accounting experience.
• Ability to reconcile an account to an independent source and trace differences.
• Solid Excel skills with lookups and pivot tables, handling thousands of rows.
• Experience with QuickBooks or ability to pick up a new system quickly.
• Accuracy with high-volume documents.
• Willingness to be trained in payroll backup.
• Discretion with confidential information.

Responsibilities

• Accounts payable end-to-end; code invoices, match against PO/receiving, prepare weekly payment run.
• Maintain vendor records: W-9, remit-to address, payment terms, reporting status.
• Code and reconcile ~150 card transactions monthly; chase receipts and reconcile statements.
• Prove that cash, postings, and revenue agree; prepare AR rollforward and aging.
• Process refunds and track credit balances; monitor statutory deadlines.
• Age outstanding checks and close reconciling items with causes, owners, and dates.
• Payroll backup: train to run payroll in ADP; assist with garnishment processing.
• Support the close: balance sheet reconciliations and recurring journal entries.
