Position Summary:
We are seeking an experienced Accounts Payable Manager with a strong accounting background to oversee our AP department and support financial reconciliations, internal controls, and process improvements.
This is a hands-on management position that requires more than traditional accounts payable experience. The ideal candidate will have experience with general ledger accounting, bank reconciliations, and researching and resolving accounting discrepancies.
As our company continues to grow, we need someone who can think critically, investigate historical transactions, work collaboratively across departments, and independently identify solutions to accounting issues.
The successful candidate will be comfortable managing daily AP operations while also understanding how those transactions affect the general ledger and financial statements.
Duties and Responsibilities:
- Oversee daily accounts payable operations, including invoice processing, vendor payments, ACH transactions, automatic withdrawals, and weekly payment runs.
- Supervise, train, and develop AP employees, ensuring accuracy, accountability, timely processing, and adherence to established procedures.
- Monitor outstanding payables, vendor statements, payment exceptions, and departmental workloads to ensure issues are addressed promptly.
- Research and resolve discrepancies between AP-related bank transactions and payments recorded in Microsoft Dynamics 365 Business Central.
- Investigate unmatched ACH withdrawals, automatic payments, outstanding checks, duplicate payments, posting discrepancies, and other AP-related accounting issues.
- Review vendor accounts, general ledger activity, payment history, and supporting documentation to identify discrepancies and determine appropriate resolutions.
- Research historical vendor balances and transactions transferred from companies for which we provide accounting management services or from legacy accounting systems, working with appropriate personnel to verify balances and obtain missing documentation.
- Apply accounting knowledge, analytical skills, and independent judgment to investigate complex transactions, identify root causes, and recommend appropriate corrective actions.
- Coordinate with accounting management to ensure AP-related transactions are accurately recorded and necessary corrections are identified.
- Work collaboratively with vendors, accounting personnel, and other departments to resolve outstanding issues and support accurate financial reporting.
- Evaluate existing AP processes, identify control weaknesses, and recommend improvements to increase efficiency, accuracy, and accountability.
- Develop, document, and maintain standard operating procedures and internal controls surrounding vendor setup, payment processing, approvals, and AP-related reconciliations.
- Support accounting system integrations, and process standardization across multiple companies.
- Communicate findings and recommendations clearly, take ownership of assigned issues, and follow problems through to resolution.
- Promote a collaborative, solutions-oriented work environment that encourages employee development, accountability, and continuous improvement.
- Review and verify accurate general ledger (GL) and job ledger coding of vendor invoices, ensuring expenses are charged to the appropriate accounts, jobs, projects, and business units.
- Research and resolve incorrect GL account classifications, job cost allocations, and posting discrepancies within Microsoft Dynamics 365 Business Central.
- Understand the impact of AP transactions on general ledger balances, job costs, and financial reporting.
- Work with operations, project managers, and accounting personnel to clarify expense classifications and ensure costs are accurately assigned.
- Identify recurring coding errors and provide guidance and training to AP staff to improve accuracy and consistency.
- Perform other related duties as assigned.
