Key Activities
- Manage the Payables and Administrative Support teams inside Abacus Advisors. This team is responsible for paying customer firm’s payables (“Bill Pay”) and coordinating customer disbursements related to lawsuit settlements (“Settlement Support”) in addition to a variety of Administrative Support functions designed to make internal bookkeeping processes run more efficiently
- Assist teams by allocating/managing tasks and jumping in to fill gaps on high volume days
- Administration of Abacus’ on-line Bill Pay platform (Bill.com) which includes new client onboarding, former client offboarding, troubleshooting/issue resolution, user training and user access (firm and client)

- If Abacus proceeds to offer Expensify to clients, this role will own the implementation of the system.

Key Performance Areas
- Administrative management of PTO, staffing levels/coverage, performance reviews, hiring, and terminations for the Payables and Administrative Support team
- Work with Accounting Manager to coordinate and assign customer and administrative project work
- Plan, implement, and manage monthly client bank statement downloading project where the team retrieves over 1,200 bank and credit card statements
- Maintain Standard Operating Procedures for the Payables and Administrative Support team
- Provide guidance and expertise for all Bill Pay, Settlement Support, and Administrative Support functions. This includes assisting to resolve capacity issues on high volume days
- Performing system training and new client on boarding support for Bill.com.Training is provided to both new Abacus employees and employees of clients as part of their onboarding process and ongoing support
- Management of the overall Bill.com portal which includes setting up new clients, decommissioning clients who cancel their service, ensuring open items are addressed in a timely manner, and coordinating payment of Abacus’ bills
- Manage/control check stock for Settlement Support clients
- Planning and management of Abacus’ annual 1099 production and research project. This project generates a material amount of revenue each year and impacts almost every client on the platform. Management of this project includes:
- Setting and communicating timelines with clients and internal stakeholders
- Managing internal staff that are focused on researching and sourcing missing taxpayer information
