Job summary

Talentify is seeking an Accounts Payable specialist to support invoice processing, 3-way matching, and vendor inquiries. You will review, code, and process invoices in accordance with company policies and resolve discrepancies with vendors or internal departments.

You will manage payments, prepare bi-monthly check runs, ACH payments, and wire transfers, maintain records, reconcile AP subledger to the GL, assist with month-end close, and support audits with proper documentation.

Qualifications

• Experience in invoice processing and 3-way matching.
• Experience with bi-monthly check runs, ACH payments, and wire transfers.
• Ability to resolve discrepancies with vendors or internal departments.
• Knowledge of internal controls and audit support.
• Strong numerical accuracy and data-entry skills.

ESSENTIAL DUTIES & KEY RESPONSIBILITIES:

Invoice Processing

• Review, code, and process invoices in accordance with company policies.
• Match purchase orders, receipts, and invoices (3-way match).
• Ensure proper approvals and resolve discrepancies with vendors or internal departments.

Payments & Disbursements

• Prepare and process bi-monthly check runs, ACH payments, and wire transfers.
• Ensure payments are made accurately and on time.
• Maintain accurate payment records and documentation.

Vendor Management

• Act as the primary point of contact for vendor inquiries.
• Reconcile vendor statements and resolve billing issues.
• Maintain up-to-date vendor files and W-9 documentation.

Reconciliations & Reporting

• Reconcile AP subledger to the general ledger.
• Monitor aging reports and follow up on outstanding credits or issues.
• Assist with month-end closing tasks, accruals, and financial reporting.

Compliance & Internal Controls

• Ensure adherence to accounting standards and internal controls.
• Support audits by providing documentation and explanations.
• Maintain confidentiality and ensure accuracy of financial information.

• Excellent communication and customer service skills.
• Proficiency in Excel and general accounting software.
