Job summary

Wildman is seeking an Accounts Payable Associate to own the day-to-day AP cycle while an employee is on leave. The role focuses on accurate invoice processing, coding, and timely vendor payments within Sage 100 and ABBYY workflows.

You will maintain AP records, resolve discrepancies, and support month-end close. In-office training and critical close periods are required to ensure cash flow integrity.

Qualifications

  • 1+ years of accounts payable, bookkeeping, or high-volume transactional accounting experience.
  • Demonstrated experience entering invoices, coding expenses, managing approvals, and preparing payment runs/check batches.
  • Strong Excel skills for sorting, filtering, basic formulas, and reconciling lists.
  • High school diploma or equivalent.
  • Ability to work in-office during training and critical payment/close periods.

Responsibilities

  • Monitor the ABBYY invoice portal and AP inbox daily; ensure invoices are captured and attached to the correct vendor record.
  • Validate vendor name, invoice number, date, amount, terms, tax treatment, PO or receiving support, and duplicates.
  • Code invoices to the correct company, GL account, department/location, project, and other dimensions in Sage 100.
  • Enter invoices promptly and retain complete supporting documentation in ABBYY/Sage 100.
  • Identify and resolve exceptions: duplicates, variances, missing POs, unclear coding, and vendor data issues.
  • Route invoices through ABBYY to budget owner/approver; review queues daily.
  • Escalate delays and urgent payments to Finance leadership; retain documentation.
  • Prepare weekly check selections and payment support for review and approval.
  • Run monthly check batches and any interim payments in Sage 100 per schedule.
  • Verify payee, remittance address, amount, and duplicate payments before each run.
  • Process voids, reissues, stop payments, vendor credits, and inquiries promptly.
  • Communicate payment status to vendors and internal stakeholders as needed.
  • Keep AP aging current; investigate old payables and unusual balances.
  • Reconcile vendor statements and resolve differences; support month-end close.
  • Maintain orderly digital records and segregation-of-duties controls.
  • Assist with 1099 prep, audit requests, and other AP reporting.

The Accounts Payable Associate will own the day-to-day accounts payable cycle while an employee is on leave. This person ensures invoices are complete, accurately coded and approved; vendor payments are timely and controlled; and the AP ledger is clean, current, and ready for month-end close. The role is a key steward of company cash, vendor relationships, and internal controls.

Job Responsibilities
  1. 1.Monitor the ABBYY invoice portal and AP inbox daily; ensure invoices are captured, readable, and attached to the correct vendor record.
  2. 2.Validate vendor name, invoice number, date, amount, terms, sales/use tax treatment, purchase order or receiving support when applicable, and duplicate-invoice risk.
  3. 3.Code invoices accurately to the appropriate company, GL account, department/location, project, and any other required dimensions in Sage 100.
  4. 4.Enter invoices promptly and retain complete supporting documentation in ABBYY/Sage 100.
  5. 5.Identify and resolve exceptions, including duplicate invoices, price/quantity variances, missing purchase orders, unclear coding, missing receipts, and vendor master-data issues.
  6. 6.Route invoices through ABBYY to the appropriate budget owner/approver.
  7. 7.Review approval queues daily; follow up professionally on invoices that are not approved in time.
  8. 8.Escalate approval delays, unusual invoices, policy exceptions, and urgent payment requests promptly to Finance leadership.
  9. 9.Never bypass required approvals; retain documentation for all approved exceptions.
  10. 10.Prepare weekly check selections and payment support for review and approval, prioritizing invoices by due date, discount opportunities, vendor criticality, and approved cash plan.
  11. 11.Run monthly check batches and any approved interim/urgent payments in Sage 100 according to the established schedule.
  12. 12.Verify payee, remittance address, invoice selection, payment amount, and duplicate-payment controls before each run.
  13. 13.Process voids, reissues, stop payments, vendor credits, and payment inquiries accurately and promptly.
  14. 14.Communicate payment status and remittance information to vendors and internal stakeholders as needed.
  15. 15.Keep the AP aging current; investigate old payables, debit balances, unapplied credits, and unusual vendor balances.
  16. 16.Reconcile selected vendor statements and resolve differences, credits, and missing invoices.
  17. 17.Support month-end close by providing AP aging, accrued-expense support, unentered-invoice information, and other requested schedules by the finance close deadline.
  18. 18.Maintain orderly digital records and follow established segregation-of-duties, approval, vendor-maintenance, and payment-release controls.
  19. 19.Assist with 1099 preparation, audit requests, and other AP-related reporting as assigned.
Requirements

  • Experience with vendor statement reconciliations, 1099 support, and month-end accrual support.
