Qualifications

• Experience with ERP systems such as NetSuite, SAP, Oracle, Sage or MS Dynamics.

Responsibilities

• Process and review vendor invoices with accurate coding and timely payment.
• Perform two-way and three-way matching of invoices, PO and receiving docs.
• Manage vendor accounts, reconcile statements, and resolve discrepancies.
• Prepare weekly payment runs (ACH, wire transfers, and checks).
• Assist with month-end close and AP accruals.
• Prepare and post AP-related journal entries.
• Monitor outstanding invoices and ensure payments align with terms.
• Communicate with vendors and internal departments to resolve inquiries.
• Assist with 1099 reporting and vendor tax documentation.
• Support audits with schedules and documentation.
• Identify opportunities to improve AP processes and controls.

Position Overview

We are seeking a detail-oriented and organized Accounts Payable Accountant to join our growing accounting team. This individual will be responsible for managing day-to-day accounts payable activities, ensuring timely and accurate processing of invoices, maintaining vendor relationships, and supporting month-end close procedures.

The ideal candidate will have a strong understanding of accounting principles, experience working in a high-volume AP environment, and the ability to manage multiple priorities in a fast-paced setting.

Key Responsibilities

• Process and review vendor invoices, ensuring accuracy, proper coding, and timely payment.
• Perform two-way and three-way matching of invoices, purchase orders, and receiving documentation.
• Manage vendor accounts, reconcile statements, and resolve discrepancies.
• Prepare and process weekly payment runs, including ACH, wire transfers, and checks.
• Maintain accurate accounts payable records and supporting documentation.
• Assist with month-end and year-end closing activities, including AP accruals and account reconciliations.
• Prepare and post journal entries related to accounts payable transactions.
• Monitor outstanding invoices and ensure payments are made according to established terms.
• Communicate with vendors and internal departments to resolve invoice and payment inquiries.
• Assist with 1099 reporting and vendor tax documentation.
• Support internal and external audits by preparing schedules and providing requested documentation.
• Identify opportunities to improve AP processes, internal controls, and operational efficiency.
• Collaborate with the broader accounting and finance team on special projects as needed.

Qualifications

• Bachelor's degree in Accounting, Finance, or a related field preferred.
• 2+ years of accounts payable or general accounting experience.
• Strong understanding of accounts payable processes and basic accounting principles.
• Experience with high-volume invoice processing preferred.
• Proficiency in Microsoft Excel, including PivotTables and VLOOKUP/XLOOKUP.
• Experience with accounting software or ERP systems such as NetSuite, SAP, Oracle, Sage, or Microsoft Dynamics.
• Experience with general ledger reconciliations and month-end close activities preferred.
• Strong organizational skills and attention to detail.
• Excellent communication and problem-solving abilities.
• Ability to work independently while meeting deadlines in a fast-paced environment.
