Job summary

SWARCO McCain in Vista, CA is seeking an Account Administrator to handle routine customer inquiries, order changes, deliveries, and service-related correspondence. You will acknowledge orders, advise on substitutions, status, and back orders, and maintain clear communication with assigned accounts.

The role requires a high school diploma and 2+ years in customer service; experience in construction or electrical sales is preferred.

Qualifications

High school diploma or GED.
2+ years in customer service.
Construction or electrical sales experience preferred.
Technical product aptitude a plus.
Reading building plans or specifications a plus.
Excellent verbal and written communication skills.
Ability to stay well organized, multi-task and set priorities.
Attention to details.
Computer skills, especially MS Office, Dynamics 365, or Great Plains software.

Responsibilities

Communicate with assigned accounts/customers about delivery status, inquiries, terms, and changes.
Coordinate interdepartmental communication for new part numbers as needed.
Process sales orders and revisions as required.
Handle Return Merchandise Authorization (RMA) forms for defective or incorrect material.
Create and manage Job Closing Reports to ensure correct billing.
Create CRM project folders, download plans/specs, and post addenda.
Prepare Caltrans and City of Los Angeles inspection documentation.
