Job summary

SWARCO McCain is seeking a detail-oriented Accounts Receivable Assistant to join our finance team in Vista, CA. You will support billing, payment processing, customer account management, and compliance documentation in an entry-level role designed to launch a career in accounting.

You will create customer accounts, post payments, review resale certificates for tax compliance, respond to billing inquiries, and assist audits and reporting in a fast-paced environment with a collaborative team.

We are seeking a detailed-oriented Accounts Receivable Assistant to join our team. In this role, you will support the finance team with billing, payment processing, customer account management, and compliance-related documentation. This is an excellent entry-level opportunity for someone looking to start a career in accounting or finance.

Essential Duties and Responsibilities

1. Create new customer accounts.
2. Prepare and send preliminary notices in accordance with contractual and statutory requirements.
3. Process Lien Waiver releases.
4. Release sales order from credit hold.
5. Post and apply customer payments accurately.
6. Collect, review and maintain customer resale certificates to ensure tax compliance.
7. Track expiration dates and request updated resale certificates as needed.
8. Respond to customer inquiries related to billing, payments, notices, and tax documentation.
9. Support audits and financial reporting as needed.

Requirements

1. Must be computer literate, i.e., spreadsheet application and word processor programs. Experience with Microsoft Dynamics software helpful but not required.
2. Ability to follow up on pending issues and meet deadlines.
3. Ability to work in a high volume and fast paced environment.
4. Must be organized and detail oriented with the ability to multi-task.

Physical Conditions / Requirements

• No unusual physical requirements. It requires no heavy lifting, and nearly all work is done in a comfortable indoor facility.
• Occasional – Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; involves occasional exposure to demands and pressures from persons other than immediate supervisor.
• Job frequently requires sitting and handling objects with hands.
• Job occasionally requires standing, walking, bending, reaching, talking, hearing, and lifting up to 10 pounds.
• Hearing requirements: Ability to hear people over the telephone and in person; hear noises in surrounding areas, i.e., forklifts in the warehouse for safety purposes.
• Vision requirements: Ability to see information in print and/or electronically.
