Job summary

Trinity Employment Specialists in Tulsa is seeking an Accounting Specialist to support daily financial operations for a nonprofit organization. You will handle accounts payable/receivable, government contract reporting, and internal controls with emphasis on accuracy and confidentiality.

Qualifications

  • Bachelor's degree preferred or equivalent with 5 years of accounting experience.
  • Experience with accounts payable/receivable and financial recordkeeping.
  • Strong understanding of accounting principles and internal controls.
  • Attention to detail, organization, and ability to handle multiple deadlines.
  • Proficiency in Excel and Word; good communication skills.
  • Valid driver's license for occasional travel.

Responsibilities

  • Prepare and submit monthly government contract claims.
  • Monitor contract expenditures against budgets and funding.
  • Process accounts payable, vendor invoices, reimbursements, ACH, and checks.
  • Verify invoice approvals, coding, and supporting docs.
  • Maintain vendor records, W-9, and payment info.
  • Prepare and file annual 1099 forms.
  • Process accounts receivable and reconcile customer accounts.
  • Prepare weekly bank deposits and reconcile receivables.
  • Track and reconcile credit card transactions and expenses.
  • Assist with expense management and policy compliance.
  • Maintain organized records for audits and reporting.
  • Assist with annual audits and government/private funding reporting.
  • Prepare meeting materials and minutes for finance committees.
  • Participate in process improvement for accounting operations.
  • Perform other accounting and admin duties as assigned.

Accounting Specialist - Non-ProfitPay: $20.00-$27.00 per hour Job Type: Full-Time Schedule: Monday-Friday

Position Summary

We are seeking a detail-oriented Accounting Specialist to support the daily financial operations of a growing organization. This position plays a key role in maintaining accurate financial records, processing accounts payable and receivable, assisting with government contract reporting, and ensuring compliance with accounting standards and internal policies. The ideal candidate is highly organized, analytical, and able to manage multiple priorities while maintaining accuracy and confidentiality.

Key Responsibilities
  • Prepare and submit monthly government contract claims within required deadlines.
  • Monitor contract expenditures to ensure compliance with approved budgets and funding requirements.
  • Process accounts payable, including vendor invoices, employee reimbursements, ACH payments, and checks.
  • Verify invoice approvals, coding, and supporting documentation before processing payments.
  • Maintain vendor records, W-9 documentation, and payment information.
  • Prepare and file annual 1099 forms.
  • Process accounts receivable, record incoming payments, and reconcile customer accounts.
  • Prepare weekly bank deposits and reconcile receivable balances to the general ledger.
  • Track and reconcile company credit card transactions and employee expense reports.
  • Assist with electronic expense management and ensure compliance with company policies.
  • Maintain organized financial records and documentation for audits and reporting.
  • Assist with annual financial audits and support reporting requirements for government and private funding sources.
  • Prepare meeting materials, agendas, and meeting minutes for finance-related committees as needed.
  • Participate in process improvement initiatives to enhance accounting operations.
  • Perform other accounting and administrative duties as assigned.
Qualifications
  • Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent combination of education and at least 5 years of relevant accounting experience will be considered.
  • Experience with accounts payable, accounts receivable, reconciliations, and financial recordkeeping.
  • Strong understanding of accounting principles and internal controls.
  • Excellent attention to detail with strong organizational and time management skills.
  • Ability to prioritize multiple deadlines and work independently.
  • Proficiency with Microsoft Excel and Microsoft Word.
  • Strong verbal and written communication skills.
  • Valid driver's license with reliable transportation for occasional business-related travel.
Preferred Qualifications
  • Experience with QuickBooks Online.
  • Experience working with government contracts, grants, or Medicaid billing.
  • Experience using SAP Concur or other electronic expense management systems.
  • Experience with Adobe Acrobat Pro and electronic document management systems.
  • Previous nonprofit accounting experience or experience managing multiple funding sources.
