Job summary

Applied Cooling Equipment is seeking an experienced Accounting Specialist (Part-Time) to support day-to-day accounting, including AP/AR, cash flow reporting, and journal entries. Proficiency with QuickBooks Desktop and Excel is required; candidate should work well independently and manage multiple priorities.

The role is hybrid, based in Davie, FL, with in-office presence about one day per week. This position offers flexible scheduling and a collaborative environment for project-based accounting

Qualifications

• 3-5 years of accounting or bookkeeping experience preferred.
• Strong working knowledge of QuickBooks Desktop.
• Experience with accounts payable, accounts receivable, reconciliations, journal entries, and cash flow reporting.
• Experience supporting month-end accounting activities.
• Proficiency in Excel and ability to learn new accounting systems.
• Strong attention to detail and organizational skills.

Responsibilities

• Process and review vendor bills, customer invoices, and payments.
• Enter purchase orders and review invoicing for accuracy.
• Receive and record customer payments and initiate vendor payments.
• Prepare cash flow reports twice a week, including cash received, expected income, and upcoming payments.
• Track vendor payment terms and ensure bills are paid according to established schedules.
• Communicate with customers and vendors regarding invoices, payments, and account questions.
• Prepare quarterly commission reports and calculate commission splits based on project responsibilities.
• Track commissions for projects that may run over several months and update calculations as needed.
• Prepare and record journal entries.
• Maintain supporting schedules and assist with month-end close.
• Complete templates and gather information needed for sales tax processing.
• Reconcile customer, vendor, and prepaid accounts.
• Maintain accurate accounting records and supporting documentation.
• Work in QuickBooks Desktop and assist with the transition to a new accounting system as needed.

Accounting Specialist (Part-Time)

Estimated Compensation

$26-$33/hour, with flexibility based on experience and qualifications.
