Qualifications

  • High School diploma or equivalent; related certifications preferred.
  • AP/AR experience required.
  • Familiarity with Yardi, QuickBooks or similar software.
  • Proficiency in Microsoft Word and Excel required.
  • Excellent verbal, written and interpersonal communication.
  • Ability to manage multiple priorities and meet deadlines.

Responsibilities

  • Answer phones, greet visitors, respond to emails in a professional manner.
  • Schedule appointments, manage calendars, coordinate meetings and materials.
  • Maintain office supplies, organize the supply room, manage mail and deliveries.
  • Set up and maintain property files and documentation.
  • Assist with accounts payable and accounts receivable, invoice and payment processing.
  • Assist with bank reconciliations and maintain financial records.
  • Support residents and vendors; coordinate with contractors as needed.
  • Prepare reports and provide accounting/administrative support to departments.

Education

High School Diploma or equivalent
NALP certification (preferred)

  • Confidentiality: Ability to handle sensitive financial, resident, and employee information with discretion.
  • Education: High School diploma or equivalent required. Relevant certifications (e.g., National Apartment Leasing Professional - NALP) are preferred but not required.
What the Job Looks Like (What You'll Do)
  • Front Office: Answer and direct phone calls promptly, greet visitors, respond to emails, and provide a professional first impression.
  • Administrative Support: Schedule appointments, manage calendars, coordinate meetings, prepare meeting materials, and provide general administrative support.
  • Office Operations: Maintain office supplies and equipment, organize the supply room, receive and distribute mail and deliveries, and maintain a clean, organized office.
  • Records & Files: Set up new property files and maintain accurate filing systems, records, and documentation.
  • Accounting Support: Assist with accounts payable, accounts receivable, invoice processing, payment processing, data entry, and financial transactions.
  • Financial Records: Assist with bank reconciliations and maintain accurate financial records.
  • Resident & Vendor Support: Respond to resident accounting inquiries and coordinate with vendors and contractors as needed.
  • Reporting & Team Support: Prepare reports and provide additional accounting and administrative support to various departments as needed.
