Job summary

IRBIS HVAC Inc. is seeking an experienced Accounting Manager to lead our accounting operations in San Jose. You will oversee day-to-day activities, drive accurate financial reporting, ensure strong internal controls, and optimize processes to scale a growing organization.

This role reports to the CFO and requires hands-on leadership across accounting, payroll, payroll, and project costing. The ideal candidate has a Bachelor's in accounting or finance with 5+ years of progressive accounting

Qualifications

• Bachelor's degree in Accounting, Finance, or related field.
• 5+ years of progressive accounting experience including leadership responsibilities.
• Strong proficiency in QuickBooks Online.
• Advanced Microsoft Excel skills (Pivot Tables, XLOOKUP/VLOOKUP, formulas).
• Experience managing month-end close and financial statement preparation.
• Experience with payroll processing.
• Strong understanding of job costing and project accounting.
• Excellent analytical, organizational, and problem-solving skills.
• Ability to manage multiple priorities while meeting deadlines.
• Strong written and verbal communication skills.
• Self-motivated with the ability to work independently.

Responsibilities

• Manage day-to-day accounting operations using QuickBooks Online (AP, AR, invoicing, payments, reconciliations).
• Oversee monthly, quarterly, and year-end close processes.
• Prepare monthly financial statements and management reports.
• Monitor cash flow and assist with planning.
• Manage payroll processing and expense reimbursements.
• Oversee vendor relationships and payment schedules.
• Ensure timely customer billing and collections.
• Oversee journal entries and GL accuracy; perform reconciliations.
• Oversee inventory accounting and project profitability analysis.
• Ensure GAAP compliance and adherence to accounting policies.

IRBIS HVAC Inc., a growing commercial HVAC service and installation company serving the greater San Jose area, is seeking an experienced and hands‑on Accounting Manager to lead our accounting operations. This position reports directly to the CFO and is responsible for overseeing the company's day‑to‑day accounting functions while ensuring accurate financial reporting, strong internal controls, and efficient accounting processes. The ideal candidate is a proactive leader who enjoys rolling up their sleeves while helping build scalable financial operations in a growing organization.

Key Responsibilities

Accounting Operations & Financial Management

• Manage all day‑to‑day accounting operations using QuickBooks Online, including Accounts Payable, Accounts Receivable, invoicing, payments, and reconciliations.
• Oversee the monthly, quarterly, and year‑end close processes.
• Prepare accurate monthly financial statements and management reports.
• Monitor cash flow and assist with financial planning.
• Manage payroll processing and employee expense reimbursements.
• Oversee vendor relationships and payment schedules.
• Ensure timely customer billing and collections.
• Maintain general ledger accuracy and oversee journal entries.
• Perform bank, credit card, and account reconciliations.
• Oversee inventory accounting and reconciliations.
• Manage job costing and analyze project profitability across service and installation operations.
• Ensure compliance with GAAP and company accounting policies.

Financial Analysis & Leadership

• Prepare budgets, forecasts, and variance analyses.
• Provide financial insights and recommendations to the CFO and leadership team.
• Develop and improve accounting processes, internal controls, and operational efficiencies.
• Support annual tax preparation and external financial reviews.
• Assist with strategic financial planning and business growth initiatives.
• Mentor and support accounting staff as the department grows.
• Collaborate closely with operations, service, project management, and executive leadership.

Required Qualifications

• Bachelor's degree in Accounting, Finance, or related field.
• 5+ years of progressive accounting experience, including leadership or senior accounting responsibilities.
• Strong proficiency in QuickBooks Online.
• Advanced Microsoft Excel skills (Pivot Tables, XLOOKUP/VLOOKUP, formulas, data analysis).
• Experience managing month‑end close and financial statement preparation.
• Experience with payroll processing.
• Strong understanding of job costing and project accounting.

Preferred Qualifications

• Typical hours: Monday-Friday, 8:00 AM - 5:00 PM
