Accounting Clerk


Classification Summary:
Incumbents perform basic and routine accounting tasks, enter data, and run standard reports. Responsibilities may include entering and processing payments; preparing quarterly State sales tax returns; preparing and processing purchase orders; and managing outstanding checks.

Minimum Education and/or Training and Experience:
High School Diploma or equivalent (G.E.D.), and one year of relevant experience.

Classification Duties:
  1. Process invoices for payment, ensuring accuracy and timeliness; prepare and distribute checks for approved payments, and verify and monitor payments to ensure timely completion. (A1)
  2. Review general requisitions and assist with the preparation of purchase orders. (B2)
  3. Ensure that all requisitions and orders comply with organizational policies and are approved within required timeframes. (B2)
  4. Perform recordkeeping duties including maintaining accurate and organized financial records, both digital and physical. (A1)
  5. Support documentation needs for various projects and assist in file management for completed transactions. (A1)
  6. Respond to inquiries from internal departments and external contacts, providing necessary information and directing questions appropriately. (A1)
  7. Order office supplies and assist with general office tasks to support Business Office functions. (A1)
  8. Assist with data entry, reconciliation, and other accounting tasks as needed. (B2)
  9. Contribute to the accurate tracking of expenditures and budget usage. (B2)
  10. Perform other related duties of a comparable level/type as assigned.


Position Duties:
  1. Track utility usage for all campuses on various spreadsheets for distribution to appropriate department leadership members.
  2. Research and track checks for student and vendor-specific bank accounts.
  3. Distribute bills for various departments on orders for payments.
  4. Prepare orders for payment for state and federal tax returns.


Knowledge:
Knowledge of Accounts payable cycles
Office procedures, methods, and equipment;

Basic accounting principles;

Basic mathematical concepts;

Cash handling procedures;
Computer operation and related software applications.

Wage/Salary: $17.12 per hour / $17.25 effective July 1
Status: Full time

If Non-exempt, work days: Mon - Fri during the academic year (May - August); Mon - Thurs (during the summer)8:00 AM - 4:30 PM (during the academic year); 7:30 AM - 5:00 PM (during the summer)
