Job summary

VIBRANT is seeking an Account Coordinator to join our Client Services team in the United States. You will help lead experiential marketing programs from planning through onsite execution for B2B and B2C settings.

Reporting to the Brand Experience Manager, you will manage multiple workstreams, coordinate with vendors, and support budgets, timelines, and post-program reporting while traveling to activations across the USA.

Qualifications

  • 2–3 years of experience in marketing, experiential, events, or integrated agency environments.
  • Ownership of projects or program elements from planning through execution.
  • Experience managing multiple concurrent projects in a fast-paced environment.
  • Strong interest in experiential marketing and emerging trends, technologies, and best practices.

Responsibilities

  • Support the planning and delivery of experiential marketing programs across the U.S., including B2B events, trade shows, and brand activations.
  • Take ownership of multiple project elements and workstreams from planning through onsite execution and post-program reporting.
  • Develop project plans, schedules, staffing plans, production briefs, and logistics in partnership with the Senior Brand Experience Manager.
  • Manage relationships with vendors and suppliers, including obtaining estimates, negotiating costs, coordinating deliverables, and overseeing production.
  • Train, brief, and manage Brand Ambassador and field teams as required.
  • Serve as a professional point of contact for clients, partners, vendors, and onsite teams.
  • Monitor project spending and support delivery within approved budgets.
  • Identify challenges early and develop practical solutions in a fast-moving environment.
  • Contribute to project plans, status updates, recaps, and postmortems.
  • Travel to program locations and oversee onsite execution when required.

Reporting to the Brand Experience Manager, the Account Coordinator (internally titled Brand Experience Specialist) will help lead the planning, production, and execution of experiential marketing programs in B2B and B2C settings. This role is suited to an agency professional who owns projects or program elements, thrives in a fast-paced environment, and is comfortable taking ideas from initial planning through onsite execution.

What You Will Do
  • Support the planning and delivery of experiential marketing programs across the U.S., including business to business events, trade shows, and brand activations
  • Take ownership of multiple project elements and workstreams from planning through onsite execution and post program reporting
  • Develop project plans, workback schedules, staffing schedules, creative production briefs, and logistical requirements in partnership with the Senior Brand Experience Manager
  • Manage relationships with vendors and suppliers, including securing estimates, negotiating costs, coordinating deliverables, and overseeing production
  • Train, brief, and manage Brand Ambassador and field teams as required
  • Serve as a professional point of contact for clients, partners, vendors, and onsite teams
  • Monitor project spending and support the delivery of programs within approved budgets
  • Identify challenges early and develop practical solutions in a fast-moving environment
  • Contribute to project plans, status updates, recaps, and postmortems
  • Travel to program locations and oversee onsite execution when required
What You Bring
  • Two to three years of experience within a marketing, experiential, events, or integrated agency environment
  • Demonstrated ownership of projects, programs, or substantial workstreams from planning through execution
  • Experience managing multiple concurrent projects in a fast-paced environment
  • A passion for experiential marketing, with a commitment to staying informed about emerging trends, technologies, and best practices that shape memorable brand experiences.
  • Strong professional communication skills, both written and verbal
  • Excellent organization, attention to detail, and follow through
  • The ability to work independently, take initiative, and move projects forward with appropriate guidance
  • Experience coordinating vendors, production partners, logistics, or field teams
  • A calm and adaptable approach when priorities, timelines, or onsite conditions change
  • Willingness and ability to travel approximately 25 to 35 percent of the year
  • Availability to work extended hours, evenings, and weekends during activations when required
  • A bachelor’s degree or diploma in marketing, communications, event management, or a related field is an asset
Additional Experience That Would Be Valuable
  • Experience supporting business to business events or trade shows
  • Experience with digital or technology enabled brand experiences
  • Exposure to project budgets, estimates, purchase orders, or expense reconciliation
  • Experience working with beverage alcohol brands
