Job summary

University of Michigan seeks a Meeting/Special Events Manager in the Department of Surgery Communications to plan and implement events for faculty, staff, learners and the community. This role requires significant on-site time at the main medical campus and venues, coordinating speaker arrangements, AV needs, catering and travel logistics.

You will manage schedules, budgets and vendor contracts, collaborating with leadership to create a robust events portfolio.

Qualifications

  • Bachelor's degree and minimum 3 years' experience planning and executing events from small to large conferences.
  • Demonstrated project management and organizational skills with attention to detail.
  • Excellent communication and interpersonal skills with diplomacy and discretion.
  • Team-oriented, flexible and customer-service oriented.
  • Ability to manage multiple projects with tight deadlines.
  • Proficiency in MS Office and Google applications.
  • Ability to work effectively in a fast-paced environment and prioritize.
  • Ability to work independently and exercise initiative.

Responsibilities

  • Plan in-person and virtual events, handling speaker arrangements, venues, AV, catering and logistics.
  • Serve as event lead and primary contact on event day.
  • Collaborate with Chair and Communications Office to develop a diverse event portfolio.
  • Oversee site space, vendors and on-site hosting assistance.
  • Prepare materials, invitations and marketing text; coordinate communications and packets.
  • Manage schedules, agendas and post-event debriefs and evaluations.
  • Monitor budgets, quotes, contracts and P-card reconciliation.
  • Support recruitment conferences and professional society events with social media promotion.
