Job summary

Position Summary: Bastyr University is seeking an Academic Advisor/Degree Coordinator to join the advising team in our Registrar’s Office. This person will advise graduate level students.

Academic advising is a collaborative relationship between a student and an academic advisor. As graduate students, many of these students have complex lives needing personal attention. The intent of this partnership is to advise and collaborate with students in completing their programs on time. A high degree of attention to detail is required in this position.

Essential Job Functions and Responsibilities
  • Advise students on their academic progress, degree requirements, and University policies as they relate to their programs.
  • Develop and maintain systems to accurately and efficiently track student progress for on-time graduation.
  • Coordinate with the academic departments regarding the offerings of didactic courses and sections; analyze final schedule and use problem-solving skills to create an individualized quarterly plan for the students.
  • Conduct quarterly registration, manage adds and drops, academic planning and tracking (didactic), auditing, posting degrees, and other general registrar procedures.
  • Informs students regarding alternatives, limitations, and possible consequences of academic decisions (e.g., adding, dropping, and withdrawing from courses; change of program or track, or change of major.)
  • Answers student inquiries and resolves problems related to curriculum and course prerequisites, referring to catalogues, written course descriptions, and other appropriate sources.
  • Coordinate the evaluation of transfer/waiver coursework.
  • Keep current on changes in accreditation policies and advise students on exam and licensing issues and procedures. Send exam verification and graduation information to licensing agencies.
  • Assist with office operations as needed, including updating the registrar's internal website.
Qualifications and Experience
  • Bachelor’s degree required.
  • One year of experience in academic advising preferred. Or two years experience in student services, or university administration.
  • One year of experience in work environment where attention to detail is critical.
Skills and Abilities
  • Ability to learn, interpret, and input data into a Student Information System for managing student records.
  • Proficiency in Microsoft 365 (Word, Excel, Teams) and Adobe Acrobat to create spreadsheets, draft official correspondence, and produce key informational documents.
  • Ability to analyze and solve problems.
  • Ability to concentrate, remain focused, and on task with frequent interruptions and distractions.
  • Ability to process and manage highly confidential information while relaying sensitive information appropriately.
  • Ability to discern student issues during advising sessions and address those issues or refer them to the appropriate resource.
  • Ability to collaborate effectively and professionally with faculty, chairs, and staff from diverse backgrounds, abilities, perspectives, ages, and nationalities.
