Tyler Junior College is seeking an Academic Advising Support Specialist to provide critical administrative and customer service support to prospective and current students. You will assist with front desk duties, event check-ins, and help manage advising schedules and calendars.

Your role includes responding to inquiries, maintaining confidentiality, and supporting staff with records, reports, and document preparation. Occasional travel between TJC locations may be required.

Qualifications

  • Associate degree in a related field is required or preferred.
  • Minimum of 1 year of related experience in an advising or student services role.
  • Experience with EAB Navigate or similar student information systems is a plus.

Responsibilities

  • Support the front desk area of the Academic Advising Center and check-in stations at events.
  • Assist with scheduling and rotation to ensure immediate service for students seeking advising.
  • Maintain a welcoming, confidential, and professional environment for students and staff.
  • Answer phones and emails, sign in students, and manage advising documents.
  • Provide staff support including data input, records maintenance, and report tracking.
  • Communicate with internal and external stakeholders to provide accurate information about services.
  • Travel to other TJC locations as needed for advising support duties.

Job description

Provide critical academic support functions for the academic advising department and provide exceptional and accurate customer service to TJC prospective/current students and internal departments.

Primary Responsibilities
  • Support the front desk area of the Academic Advising Center and Check-In stations at events to ensure positive customer service
  • In partnership with the Manager of Academic Advising Support, support the front desk area’s office scheduling and rotation to ensure immediate service opportunities for students seeking academic advising
  • In partnership with the Manager of Academic Advising Support, support the designated academic advising appointment calendar by engaging with academic advisors and associate directors to ensure optimal student advisor contact availability according to grouping and/or pathway
  • Support the academic advising department and students relating to assisting with self-registration and other basic questions that may not require an appointment with an academic advisor
  • Greet and sign in students, retrieve/accept documents, answer phones and emails, schedule appointments, scan/index advising documents, and file as needed
  • Maintain a customer-friendly, confidential, and professional environment and a welcoming attitude
  • Provide staff support to include preparation of documents supporting advisement, records maintenance, data input, tracking reports, and the use of Banner and Xtender
  • Assist in the preparation and compilation of special reports, forms, and other documents as required
  • Communicate in person and by telephone with the internal and external customers of the College; provide information to students, parents, faculty/staff, and the general public
  • Provide professional, timely, and courteous assistance to internal and external stakeholders of TJC
  • Travel to other TJC locations as required for advising support duties
  • Maintain confidentiality of student information and records; knowledge of FERPA and other applicable laws and regulations
  • Meet or exceed annual performance expectations as designated by the Manager of Academic Advising Support
  • Perform other duties as assigned by the Manager of Academic Advising Support
